Braid United Members Rota Guide


The BU has long prided itself on having a membership that helps the club out in all sorts of ways for the benefit of the membership and as part of that, we operate a volunteer rota  system for pre-golf and post-golf. The Council would encourage  every member to take part to make the club a more enjoyable and equitable place to be a part of.


If every member on the list stays on the list, you would have to do rota-duty twice a year. Thank You


Rota Operation

Firstly, login to the Braids United Website at https://www.braids-united.co.uk/content/loadLoginForm.do - If you have never logged in before, you can request a new password on the same page. When logged in, you will notice the “Rota” button along the top menu, as below.

When you click on “Rota” the following page is displayed.

1. Current Rota Availability - This should be ticked for pre and post golf for you already. Important: If you really don’t want to help out your fellow members, you can remove yourself here, but please leave these ticked. You can remove yourself temporarily by adding an exclusion which is explained next.


2. Current Rota Exclusions - If you have previously added an exclusion (for example, you are on holiday) these will show here and you won’t be picked on/or between these dates. If there are no exclusions, this section won’t appear.


3. Add Rota Exclusion - This is where you add dates you can’t cover the rota. I.e. on holiday or out of the country, or if you know you won’t be playing that week. You can choose a range of dates, or individual competition days.


4. Upcoming Rotas - This displays those on rota for the next 2 or 3 competitions. Use the menu to switch between the competitions and see who is pre and post golf. Important: If your name is here, you will also see a “Remove” button. This is where you must go to take your name off the rota if you can’t make it that week, so someone else on the list is chosen to replace you. You will then go back to the top of the list for the next event so you don’t skip your turn.


Rota Allocation

The website will automatically allocate someone to the pre-golf and post-golf rotas each week and send an email to those players well in advance of the date. If you get an email and are playing that date, then great, just make a note of it, and follow the rota guidelines below. If you know you can’t play, you must log in to the website, and remove your name, so that the next person is notified as soon as possible. Important: If you were planning to play and something comes up last minute (night before), you can remove your name, but it’s also polite to contact the person who replaces you, to explain the last minute pull out and check they are playing, as well as informing the committee. You can email the council at committee@braids-united.co.uk. Please don’t remove your name on the  day itself, just message the council and we will sort it out.


Pre-golf

If selected for pre-golf, you will be in charge of collecting the sweep money, and organising the tee times before everyone goes out to play. Don’t worry if you haven’t done this before, there is always a council member on hand to assist and guide you. Please show up 30-40 minutes before the first tee time.


You will be playing in the last group, and will have to make sure the clubhouse is closed up behind you. Again, someone with bar keys will usually be around to assist. If you have time to sort out the prizes before going out, please do so, there is a laminated guide. If not, please leave the money in a glass behind the bar and locked away.


Post-Golf

If selected for post golf, you will be expected to provide food for the members after the round. You will be playing in the first tee time, so please arrive in good time.Usually, it’s the BU pie and beans, but post-golf rota members are free to cater however they like. Some have done soup and a roll, sometimes paninis and even burgers! Anything you spend is covered by the club (bring receipts!), but please charge members appropriately so the club makes a small profit on the food. Pie and beans usually £2 a head. Training on the till operation and card machine can be given. On busier events like the medals, other members are encouraged to help out where necessary and definitely won’t be frowned upon for doing so. We don’t employ anyone to wash all the glasses etc, so please wash your own/your groups if you can. Our club is only as tidy as the members keep it. Please don’t worry about serving drinks, legally you need to be bar trained to do so, and there is normally one bar trained person in each group at least, who should be responsible for getting drinks for their group and operating the till. 

The post-golf player should wash the dishes and clean any mess made in the kitchen - please leave it as you would wish to find it. Usually the secretary or treasurer will be there at the end to help and to lock up and we will always put you out with a member with bar keys, or lend you some on the day.
