The development of the integrated SIS/MyRisk application within QuantumPlus has been delayed and is now expected to be available sometime in 2026. To ensure continuity in risk management, we have set up an interim solution using Google Sheets for tracking and documenting risk responses.
While this manual approach is not ideal, it is necessary to maintain risk oversight during this period. Setting up this interim process has required significant effort, including the following:
Extracting and transferring risk assessment data from the SIS/MyRisk application.
Creating customized access for relevant country office staff.
Sending individualized communications to each country team.
Please read the instructions below carefully.
1. Accessing Your Country's Risk Response Google Sheet
A dedicated Google Sheet has been created for your country to document and track mitigation plans for risk factors where "mitigation" was selected as the response strategy. The links to the Google Sheets for each country can be found in the respective emails sent.
👉Here is an example of the Google Sheet: Example Risk Response_Mitigation Action
2. Google Sheet Structure
The Google Sheet contains different tabs based on the selected risk response options. Depending on your country office (CO), the available tabs may include:
Mitigation
Mitigation-Escalate
Escalate
Transfer
Avoid
3. Instructions for Completing the Google Sheet
🔹 Understanding the Columns
Columns A to U → Contain risk assessment data from the myRisk application (these are locked for reference).
Columns V onward → Designated for your country to fill in proposed mitigation actions.
🔹 Entering Mitigation Actions
For each risk factor, up to five mitigation actions can be proposed. The details should be filled out as follows:
🔹 Special Instructions for "Avoid" and "Transfer" Tabs
If your country’s Google Sheet includes the "Avoid" or "Transfer" tabs, you do not need to propose mitigation actions.
In these tabs, only Column V is available. Please use this column to list the actions taken to avoid or transfer the risk.
4. Access Permissions
Edit access to the Google Sheet has been granted to:
Country Office (CO) IOMs
CO Finance Associates (if there is no IOM in the CO)
Additional access permissions can be managed by CO IOMs or CO Finance Associates or the regional IOMs.
5. Key Deadlines
✅ April 15, 2025
Complete the Mitigation Actions (Columns V, Y, AB, AE, AH) and Deadlines (Columns W, Z, AC, AF, AI) in the Mitigation, Mitigation-Escalate, and Escalate tabs.
Once completed, notify us and copy the RRC in your region.
✅ June 30, 2025
For the "Avoid" and "Transfer" tabs, provide a full list of actions taken to avoid/transfer risks in Column V.
✅ Ongoing updates
Continue updating the Status Details columns (X, AA, AD, AG, and AJ) as mitigation actions are implemented as per the deadline given in the respective columns.
All mitigation actions should be implemented as early as possible.
