Media Centre FAQ

This is my first time contacting the Media Centre - how do I submit a project request?  

It's easy - just complete the TJRC Media Centre - Request form. If you have any difficulties, contact media.centre@ugdsb.on.ca

How much will my project cost?  

Use the Media Centre Project Cost Calculator to generate an estimated total cost. For soft laminating, 3 letter (8 ½ x 11) size pieces of paper/cardstock = 1 foot = $0.30. For booklets, every 4 document pages = 2 printed pages = $0.10 B&W or $0.50 colour.

When will I receive my completed project?  

Project requests are completed in the order in which they are received. Typically, our staff process requests within 2 weeks.

Why do I require my principal’s approval for a project over $100?  

Projects are paid for out of your school’s budget. Our staff do not inform principals or office coordinators in advance of any spending at the Media Centre. It is your responsibility to communicate anticipated spending with your administrators.

What is the best file type format for printing digital documents?

Digital documents that are saved as .pdf files. Upload files for printing via our request form. If your files are too large to upload to the form, share with our staff via your Google Drive - make sure to provide editing access to media.centre@ugcloud.ca 

What is the best file type format for printing photos?

Photos that are saved as .png files. Upload files for printing via our request form. If your files are too large to upload to the form, share with our staff via your Google Drive - make sure to provide editing access to media.centre@ugcloud.ca 

Does it matter what size my images are for printing?   

Yes, especially if you want them printed larger than the original. Images should have at least 1200 pixels. If you try to enlarge the image on your computer screen and it is blurry, the printed version will be blurry too.

How can I ensure my project complies with copyright regulations?

Use the Fair Dealing Decision Tool to determine whether your intended use of a resource falls within copyright permissions and/or fair dealing. If unsure, contact the Supervisor of Library & Media Services, Lauren Bull.

How much notice do I need to provide to send in a large project?

Large project requests are typically completed over the summer - the deadline for these submissions is announced in the spring each year. For a large project to be completed during the school year, at least 4 weeks notice should be provided along with approval from the Supervisor of Library & Media Services.

I want to outsource my project to a professional printer - where can I find a list of board-approved vendors?

Contact the Purchasing Department for a current list of board-approved outside printers. 

Can I submit a project request to the Media Centre on behalf of another staff member?

No - staff members are responsible for submitting their own requests. We are unable to accept project requests submitted on another person’s behalf. 

Do I contact the Media Centre to book the button maker? 

To book the TJRC button maker, please contact our Kit Library team at terryjames.library@ugdsb.on.ca 

Can I upload photos from my iPad to one of the Media Centre computers? 

No, Apple products are not compatible with our devices. You can save your photos to a USB drive and plug in to print, or you can share your photos with the Media Centre staff at media.centre@ugdsb.on.ca - we'll print on your behalf.

Can a colleague or family member pick up my completed project(s) from the Media Centre? 

No - projects need to be picked up by the person who requested them. The only exception is that a UGDSB colleague can pick up a requestor’s project with their written permission. (NOTE: this does not apply to family members or friends.)

I have changed my mind about receiving my completed project via the board courier - can I pick it up in person instead? 

This depends on whether our staff have already completed your project - once a project is passed to the courier, it cannot be taken back. Contact our staff at media.centre@ugdsb.on.ca to check whether your delivery method can be changed.

I am coming in from out of town - can I reserve a computer to do my work?  

No, the desktop computers at the Media Centre are first come first served. However, you are welcome to bring a laptop to complete any outstanding work on your project before printing from one of our desktop devices.

What supplies can my school purchase from the Media Centre?

What are my school’s courier delivery days?  

Refer to the UGDSB School Courier Delivery Days chart - you can also double check with your office coordinator.

Do you have a selection of pre-made learning materials I can choose from for printing, laminating, etc.?

No, the Media Centre does not have ready-made resources (with the exceptio of some CLS materials). We provide support services and supplies for you to complete your own projects. Due to copyright and staffing restrictions, we do not maintain a bank of reproducible resources, nor do we store any files you share with us.

My secondary school department has money leftover in the budget at the end of the school year - can the Media Centre bill my department for the unused amount to cover any projects I submit in the following school year?

No, the Media Centre can only charge back projects to your department’s current budget. 

I submitted a request for printing and laminating but I've realized now that the items need to be cut - can I cut them after they've been laminated?

Absolutely - our laminate is 5ml (hard) or 3ml (soft) and will not split. You do not have to cut out a project before laminating it.
