Staff Schedule
Check that the child’s name is on the coach’s duotang sheet. If it is, continue to step 2. If it is not, skip to step 4.
Ask for the parents to kindly step aside and search their email inbox for the email from sports@ualberta.ca
This email should contain the QR code. The subject line will have their child's name in it as well.
If they find the email, bring them back to the front of the line and scan the QR code to sign their child in.
If they still cannot find the email, contact Kelly by text with the camper’s name and camp (eg. L2T Tennis) and the parent’s preferred email address. We will confirm registration and get a QR code sent. Ask if parents have a receipt or any other information confirming their registration.
Troubleshooting while waiting for a response from Camp Admin/Kelly:
When did they register? If it was over the weekend, we might not have gotten the updated list and qr codes generated yet, or it just got created Monday morning, let the check their emails again.
If they don't have a receipt or confirmation emails, confirm that they are registered for Green & Gold camp, not another one happening in the building or area.
If they are not the first contact parent, ask them for their email address as well, we can forward qr code to them if they are in the system.
Thank them for their patience, we just want to make sure all camper are safely accounted for and have correct contact information available during the camp day.
If you are sick, running very late, or generally need to miss work with little notice, call or text your admin (Emma or Gabe) and your lead coach asap!
Accidents happen! Make sure the camper is okay without drawing unnecessary attention to them - move the camper away from the group. Then contact your admin (Emma or Gabe) and they can provide a change of clothes. You can bring the camper to their office to pick out their new set of clothes, or send a coach to grab a new set of clothes from the admin office, and a ziploc bag for the dirty clothes. Take the camper to the washroom to get changed, and send the camper home with their dirty clothes in the ziploc bag.
The area will also need to get cleaned up, so make sure someone has contacted facility services. Be sure to talk to the parents at the end of the day!
