The Invitations page displays a list of invitations for all the organizations in which you have Administrator permissions. On this page, you can:
view and search invitations
import new invitations to the system
send invitation emails to the invitee email address(es)
cancel invitations
delete invitations
export invitations data to Microsoft Excel or CSV format files.
On the Invitations page, the following tools are available in the toolbar:
Find
Import
Send
Cancel
Export
Delete
Find - If you enter a search term in the Find field on the top-left corner of the page, the grid content is filtered to only display invitations that match your search. You can clear the search field by clicking the X button.
Import - Add invitations to the system by simply uploading the formatted Excel sheet file with all required inputs. Click here to download the invitations import Excel template:
Replace the sample record with your records.
Values are required in all columns.
Refer to the popup comments in each column header for more information.
Send - When you select one or more invitations from the grid with status "IMPORTED" or "SENT" and click the Send button, user invitation emails are sent to the email addresses of all the selected invitees. The status of imported invitations is updated to "SENT".
Cancel - When you select one or more invitations from the grid with status "IMPORTED" or "SENT" and click the Cancel button, the status of the invitations is updated to "CANCELLED". If an invitee subsequently tries to accept the invitation, they will be unsuccessful.
Export- Exports all data in the grid to the file format of your choice (Excel XLSX, CSV). You can select the export format from the menu that opens. For more information, see Exporting Data.
Delete - When you select one or more invitations from the grid with status "IMPORTED" and click the Delete button, the selected invitation records are deleted from the system. If an invitee subsequently tries to accept the invitation, they will be unsuccessful.
The toolbar also contains the following checkboxes:
Show only records for - When this option is selected, the grid only displays invitations for the organization you selected when you signed in. If you are an administrator in more than one organization, deselecting this checkbox refreshes the grid to display invitations in all your organizations. By default, this option is selected.
Users can be invited to use Connected Forest® applications using the invitations feature. To successfully invite a user to use the application, the administrator is responsible for and required to complete the following steps.
Import Invitations
Using the import button on the toolbar, new invitation(s) with all the necessary organization and user details can be added. Initially, the status of imported invitations is set to "IMPORTED".
Invite User
When you select an invitation and click the Send button in the toolbar, a Trimble invitation is sent to the email address of the invitee. After the invitation email is sent, the invitation status changes to "SENT".
Accept Invitation and Create Account
When a user receives an invitation from Trimble, they must select the click here link in the email to create a new account. After successful user account creation, the user is redirected to the SSO registration wizard to register a new organization. After this process is completed, the status of the respective invitation changes to "ACCEPTED".
Note: This does not apply to organizations with identity provider systems that are federated with Trimble Identity. These users should not follow the link in the invitation email to set up their account. Instead, they must navigate to the SSO landing page and sign in using the credentials for the identity provider system.
Organization Sharing in Connected Forest® - Xchange
After successful completion of all the three previous steps, a sharing link is established between the inviter and invitee organizations using the Reference Id value present in the invitation record.
