All fundraisers associated with an athletic team must have the pre-approval of the corresponding building principal and must be in compliance with the school wellness policy. Appropriate forms for fundraiser proposals are available in the main office at each high school.
All money raised by a fundraiser must be deposited directly into the appropriate student account. Once money from a fundraiser has been appropriately deposited in a student account, it is ready to be used for expenses.

A small games of chance license must be purchased and issued for all raffles, 50/50s, Chinese auctions, etc.

No payment for expenses should be made from CASH or from receipts from an activity.
All payments for expenses must be made by the Business Office.
If you request a quote from a company, do not tell them to order. Tell them a purchase order has to be approved and sent to them before the order can be placed.
Advisors/coaches/teachers should NEVER co-mingle student activity money with their personal accounts or any other account.
Fundraising checks should be made payable to the vendor or the school student activity fund – NOT to the student or advisor
If payment is needed on the day of an event, request an invoice from the vendor to submit ahead of the event so the check can be processed.
Student Activity checks are processed every 2 weeks, on the same cycle as payroll checks.
The purchasing process is for you to talk with your Athletic Director and give him the order to prepare the purchase order with the school secretary, the Principal will do the approval thru the online purchase order system, then the Business Manager will do an approval and then the purchase order is printed by staff in the Business Office and mail or faxed.
Deposits - all deposits should be made by the end of the business day. Monies should NOT be held overnight. All monies should be locked in the main office in overnight situations.
