There are many options in Gmail to optimise settings that work best for you - as highlighted in our Six Factor Fundamental 101 Google Workspace Communication Lab. You will recall we interactively guided you through recommended settings to run your Gmail account effectively and in a way to make yourself more efficient. Remember, these settings are changeable as you find out your personal needs, preferences and organisational goals.
Six Factor recommend these settings as best practice as well as optimising the screen estate for your Gmail. These steps should be initialised if you intend to use Multiple Inboxes and use the Six Factor Communication Dynamic of Treat, Transfer, Terminate (the 3Ts)
Multiple inboxes help you break out key emails, like important tasks or those from specific people, and make them visible alongside your main inbox in Gmail, in a completely customizable way, like using Six Factor's best practice dynamic of operating the 3Ts (Treat Transfer Terminate) and a Zero Inbox).
Gmail’s filters allow the user to automatically organise, archive (skip the inbox), delete, mark as spam and more. Filters work by setting a search criteria, and all messages that match that search criteria are then filtered by the search’s action.
A Gmail label is a tag that can be added to every email you receive or send. You can also add them to draft emails. These labels can be used to keep your inbox organised. They are similar to folders, however, unlike folders, you can apply more than one label to a single email message.
Stars help drive and trigger actions and behaviors in Gmail. The star system allows you to mark your most important emails so you can easily find them later. By default and on all mobiles, starred messages are labeled with a yellow star - but you can add other colours and types of stars when on desktop.
Discover how to "treat" an email by assigning a coloured star to it signify its importance to you. Assigning stars to emails forms part of Six Factor's Treat Transfer Dynamic (3Ts) to stay in control of your inbox.
Your inbox is an inbox? You'd certainly think so. After all, how many ways could there possibly be to view email?
The answer, as it turns out, is quite a few — especially when it comes to Gmail. Did you know that Gmail offers the choice of five distinct inbox arrangements.
Dynamic Email - lets you complete tasks from within a Gmail message. For example, without leaving Gmail, you can: Reply to an invitation, fill out a questionnaire and respond to a Google Docs comment. Click the button for further facts.
Gmail Confidential Mode - helps users to protect sensitive information from unauthorized or accidental sharing. Confidential mode messages don't have options to forward, copy, print, or download messages or attachments and also lets you set a message expiration date.
