Officer and Chair Descriptions

Elected Officers

We elect a president, no less than two (2) vice president(s), a secretary and a treasurer each March for the upcoming school year. A term is defined as one year, running from July 1 to June 30 of the following year. No officer may serve more than three (3) consecutive terms in the same office, and a person who has served in an office for more than one half of a full term shall be deemed to have served a full term in such office.

PRESIDENT The president presides at all board and general membership meetings, coordinates the work of the officers and committees as needed, and appoints standing and special committee chairs, special committees as needed, and the PTA liaison to the school’s accountability committee.

VICE PRESIDENT The vice president(s) may preside in the absence of the president and assist the president in the execution of business. Our vice presidents may have a portfolio area, such as communication, education, or enrichment.:

  • Education: oversees committees for Educator Grants and PTA Reflections arts program, serves as PTA liaison for staff-led programs like Science Night and GeoBee.

  • Communications: manages the membership email list; emails minutes, meeting agendas, and announcements; and maintains/updated the PTA website and Facebook page.

  • Enrichment: oversees the Health & Wellness, Sunshine, and Teacher Appreciation committees, leads volunteers for social events (dances, movie nights) and Talent Show, and maintains the bulletin boards within the school.

SECRETARY The secretary records the minutes of all board and general membership meetings, files and maintains records in accordance with document retention requirements, keeps a current approved copy of the bylaws, and maintains a current membership list.

TREASURER The treasurer is custodian of and maintains a full account of the PTA funds. They make disbursements as authorized in accordance with the budget, is a signatory on all PTA accounts, provide a financial report to board and membership meetings, and submit the books annually for a financial review/audit by an auditor or a financial review committee. Following the financial review/audit, the treasurer provides an annual report to the board, at the next general membership meeting, and submits a copy to the Colorado PTA.

Specific responsibilities carried out in recent years by the treasurer include:

  • spearheading the development of the PTA budget

  • keeping a record of all income received by the PTA

  • keeping a record of all expenditures of the PA/PTA

  • providing a written treasurer’s report at each meeting

  • preparing tax forms

  • preparing the yearly PTA Financial Review

  • updating the PTA budget monthly with current figures

  • depositing money in the PTA checking account

  • signing PTA checks

  • assisting with the June transfer of financial records

Treasurers need to be present at the school frequently enough to collect fundraising receipts, write checks disbursing funds to support PTA programs and document those activities.


Appointed Officers

Appointed officers include the school principal, teacher representatives, advocacy liaison, school accountability committee liaison, and Health and Wellness chair. Appointed officers may serve unlimited terms.


Committee Chairs

Standing and special committee chairs may be appointed by the president with the approval of the board of directors, with the exception of the nominating and financial review/audit committee chairs.

The term of office of a committee chair shall correspond to that of the officers or until the selection of a successor. A new body of committee members shall be appointed at the beginning of each administration. Committee chair and committee members may serve unlimited terms in the same position.

Current standing committees of this local PTA are the 8th Grade Continuation Committee, Communication and Advocacy Committee, Enrichment Committee, Finance Committee, Health and Wellness Committee, Membership Committee, Nominating Committee, and School Engagement Committee.

Areas and programs of our PTA by committee:

  • 8th Grade Continuation: plans, fundraises, and puts on the 8th grade Continuation celebration

  • Beautification (inactive): proposes and raises funds for projects to improve the appearance of our campus, such as the an outdoor improvement initiative, Changing the Face of West Jeff Middle School, in 2017

  • Communication and Advocacy: legislative advocacy, liaison to the school accountability committee, promotion (newsletter, signage, social media), website

  • Community/Family Engagement: Boo-Hoo/Yahoo breakfast, business memberships, Watch DOGS, welcome committee (inactive)

  • Enrichment: after-school enrichment (jazz band), PTA Reflections art program, PTA social events (dances), and talent show

  • Finance: fundraising, grant writing, the restaurant fundraiser program, school store and seasonal sales (boo bags, holiday store, val-o-grams).

  • Health and Wellness: partners with the Mountain Resource Center to impact the culture and energy of our school and community by providing awareness and choices to support positive mental, physical and emotional well-being

  • Membership: business memberships, fall/spring membership drives

  • School Engagement: bulletin boards, classroom/educator grants, sunshine, teacher appreciation
