Meeting notes
July Conference Call - Team Reps/Players
Player call in or facebook conversation 9PM-10:30PM
The plan is to have GEVA Women's B players initiate ideas and actions to promote member satisfaction for the 2013-2014 season AND to bring these ideas to the August meeting for consideration for the season.
Dial in number = 1-857-232-0300
Participant Access Code = 3819299
Usually with these free conference call lines - there is NO error message if you enter the wrong access code. I will try to be on the line around 7:55, so if you don't hear anything - then you should redial. I have 100+ lines reserved.
Meeting Format
Round Table for comments, what worked/didn't work for their team, ideas, wish list, suggestions. Depending on the size of the group, we may have to set a time limit for each speaker. So bring a pen and pad so you can write down what you want to share for your turn.
I plan to facilitate and allow you folks to work the discussion. This will be a tough role for me - so don't be too surprised if I start to interject my ideas and comments. But I believe I will best serve you by first listening...
Tentative agenda
WHO: Intro - review meeting guidelines
WHAT: Data collection: what works in GEVA, why? What you'd like to see, Why?
I suggest all call participants review the notes from June 26 call in.
ISSUES:
Most B tournaments had the same ol' same ol' teams
How to grow more teams
Meeting Goals
To develop an action plan to reach goals created from feedback
To get projects started by August

To secure member feedback, To develop an action plan to reach goals created from feedback, To get projects started by August
To make GEVA the volleyball place to play for women's B players!!!
Discussion:
Suggestions for improving GEVA tournament experience
Need better referees, at least knowledgeable with rules and consistent
GEVA needs to provide more support for new teams, like how to work lines, score and be an R2.
make optional training sessions available
Newsletter, though not deemed needed, the GEVA website is lacking in updates and information. In otherwords, it is stale. It is somewhat messy with only junior info. Need comments, articles or anything from board members.
Suggestions for growing Women's B pool
hosting a women's clinic, creating a flyer for handing out at various rec departments/leagues.
GEVA Forum needs better monitoring - for example the Women's B team rep needs to respond to any B player questions within a day of posting. Some postings are left unanswered for months!
Organizing and Hosting recreational tournaments
Suggestion for promoting more GEVA play -
Offer a "Nationals credit of some amount" for each tournament played instead of awarding to Regionals Finalists.
$180 is too high for tournament entry.
Would like more tournaments in NYC
Tournament prizes would be nice (yes=2, no=1)
Post fall and winter schedules earlier - much earlier. My mid September for Fall and mid October for 2014.
Remove required credit card payment - allow the option for teams to pay by check.
Remove late fee or the concept of "early bird" discount needs improved communication
Remove late fee requirement from non-GEVA hosted events if they so request it.
Create a tool for players and team reps to reach each other (Created GEVA-WB@yahoogroups.com for players and team reps to post discussions). We may have to consider social media such as twitter or facebook. This can be done somewhat anonymously.
Keep the 3 player borrowing rule even though it changes team dynamics for seedings
Offer MORE TOURNAMENTS!!! At least 2 per month for B even if just 5 team pools, then players have an opportunity to get more out of their individual registration fee. The current formula of just offering tournaments based on teams registered does not appear to apply in this current environment of competing organizations. This would also help Men's B tournaments too. Should consider this approach with BB and A events too.
Mixed tournaments like B/BB should only include stronger B and weaker BB teams.
Should work harder on inviting out of region teams
Other Suggestions
geva online registration form should be able to accept more than one email contact
enable members of a team to print out their own team rosters. Webpoint currently does not allow this.
Also team specific information needs to be listed on rosters so players know who to contact. Currently rosters only list GEVA as the team contact.
Restablish the "website update notification system". On the old website (the one that preceeded the 2012 version), allowed individuals to signup for email notification whenever there was an update to the geva website.
consider a volleyball league.
Comments to Ellen's suggestions
GEVA events set at 5 team events, with ability to grow to 2nd court when wait-list grows to 3-4 teams
OK even though the risk is that teams would withdraw from wait-list after a few days
Would promote earlier signups
Partner men's and women's events together.
Would be fun!
Would allow for more partnering or carpooling options for teams!
Could help grow the men's events
Hosting adult player clinics
players would help donate their time
need sites
