Sign up for Leader Jobs HERE. Following is a list and brief description of the tasks needed to run the GSB Ceremony.
Remember, you do not need to do these alone. Recruit your scouts, parents, or spouses (if/where possible).
Order and deliver wrapped carnations (one per scout).
Order bouquet of yellow roses (wrapped and tied with yellow ribbon) for each Gold scout and deliver to auditorium.
Create digital invitation to be distributed to all GSB leaders and Dignitaries.
Send invitations to local dignitaries: State Assembly, State Senate, US Representative, City Council, School Board, LCUSD Superintendent, etc
Retrieve (from the Montrose scout house) and set up 20 American flags on the stage. Allow time after the Ceremony for photos, then pack the flags away and return them to Montrose scout house.
Put up decorations as shown in photos provided. Arrive two hours before the ceremony. Bring scissors, yarn, clear plastic tape, and safety pins. After the ceremony, take down the decorations, repair any damage, fold them carefully, and deliver them back to the Ceremony Chair.
Set up and take down the Gold Award displays in the auditorium foyer. Tablecloths, boxes to use as risers, and tulle are all provided. Each Gold display includes: Gold Scout portrait in a frame (provided by the Gold Portrait Coordinator), name cards printed on card stock, and space for the project scrapbook (brought by Gold Scouts).
Bring trash bags and manpower to clean up the auditorium after the Ceremony. Secure any personal items left behind and get them to the Ceremony Chair.
Oversee reception, and set up reception area. Coordinate reception committees. Organize area, and ensure food is kept organized during reception. Provide napkins and cups.
Create food/beverage contribution list (or sign up) and distribute to all leaders. Try to get local companies (Trader Joe’s, Sprouts) to donate water and/or lemonade. During set up, check in food/beverages. Work with Reception Chair to set up. Man beverage distribution during reception. Bring decanters for lemonade, ice chests.
Make sure the reception area is cleaned up when done. If trash cans become full, remove bag and put in new bag. Bring plenty of large trash bags.
Have 4 scouts at the auditorium doors to hand out programs. Have 2 or 3 scouts run the Dignitary check-in table (provide small table, get dignitary RSVP list from Ceremony Chair, and mark it as they arrive; Seat them in front row, and let Ceremony Chair know who’s there before ceremony begins.
Create seating chart for ceremony, planning for scouts, leaders, and Gold families. Create signage so that everyone knows where to sit.
Design and create the ceremony program, communicating closely with the Silver and Bronze liaisons, Gold Portrait Coordinator, and Ceremony Chair. Have them printed and deliver them to the ceremony for distribution.
Coordinate with Belle n' Beau studio to ensure that each Gold Scout gets her portrait taken. Arrange for a loaner copy of each portrait to be used in our Gold display. This job involves getting a list of the LCF Gold Scouts to Belle n' Beau, arranging the payment of their nominal loan fee, picking up the portraits when they are ready, inserting them into frames (available from the Ceremony Chair), and delivering them to the Gold Display team two hours before the start of the ceremony. After the ceremony, take the photos out of the frames, deliver them back to Belle n' Beau, and return the frames to the Ceremony Chair. Lastly, get a flash drive or CD of the photos to the Outlook for use in the newspaper, and to our Program Designer.
Purchase gold/yellow ribbon (1 yard/scout) and placeholder star and assemble them for each Gold scout. Bring to the ceremony to present to their scouts.
Give each Gold scout a blue scarf (provided by the Ceremony Chair) at their rehearsal. You will be instructed on how to tie the scarf and you will in turn teach the scouts. Collect the scarves after rehearsal, redistribute at the ceremony, and collect again after the ceremony.
Treasurer
Keep track of all payments from participating troops, and coordinate reimbursements.
Reads and edits the Gold Scout bios, checking them for spelling, grammar, length, and content. Max 250 words, plus 30 words of “thank yous”; project description in 1st paragraph and activities in the 2nd).

During Event Attendants
One to two Troops not participating in the ceremony are needed to stand outside the venue during the ceremony and direct late comers into the event. Sit with food and beverages prior to the reception.
