In addition to the Ceremony job you volunteer for and providing a food/drink item for the reception (if there is one), here is a checklist of everything you need to take care of before the Ceremony:
Make sure you submit the necessary paperwork to Council by March 31. This is needed to make sure you have time to purchase the pins from the GSGLA Store.

Once you have council approval, you will need to purchase the appropriate pins from the council store.
Purchase ribbons and secure each girl's pin onto a ribbon as shown in the sample below. You can use any color satin or grosgrain ribbon you choose. Use 1 yard/girl.
Take a Troop photo (girls only - no leaders), in full uniform with sashes/vests. This photo is for our Ceremony program and should be a formal photo, as this is a formal ceremony. It's OK to let your personalities come through, but it needs to showcase the girls. Send it to the Ceremony Chair along with the girls' names in the order in which they appear in the photo. Note: This needs to be a high quality photo, please use a real camera if possible.
Scout Uniforms are a white collared shirt, khaki skort, shorts, pants, black closed toe shoes, and their Girl Scout sashes/vests. No denim, t-shirts, or sneakers. The idea is for the troop to look uniform (and formal) in appearance.
Scout Uniforms need to be up-to-date with all of their pins and badges. Click here to see where to place badges/pins/insignia.
Send the Ceremony Chair a short description of your Bronze/Silver project. This is what will be read aloud as an intro for your troop.
You (or even better, the scouts), will need to prepare a poster showing photos of your Troop's project (see examples below). Bronze Troops: use one poster board for your project. Silver Troops: use one poster board for each project.
You will need to bring a stand-up easel to hold your each poster presented for your Troop at the Ceremony reception area. (Troops may have more than one Silver Award, and therefore may need more than one easel.)
There will be a dress rehearsal close to the ceremony date (usually a couple of weeks before) for LEADERS ONLY. This is a mandatory meeting. Leaders need to be in full uniform as this is when photos will be taken for the Outlook GS Special Insert. A run-through of the ceremony will be covered so you will know how to herd your scouts during the ceremony.
Leader Uniforms are Navy or Ruby Girl Scout Trefoil polo shirt/sweater or white or navy collar shirt (no t-shirts), navy bottoms (skirt, pants, nice shorts), dress shoes (no tennis shoes). Navy dress is also an option for Leaders. Girl Scout Leader vest is optional. **Updated for 2026** Be sure to wear your leader membership pin and tab, and if you have any Girl Scout award pins (service pin, level volunteer pin, appreciation pin, etc), wear those too.
Be sure to invite any community leaders/project mentors to the Ceremony.
Encourage your scouts' parents to buy an ad in the Outlook Special Edition. If you have several scouts getting the award, consider buying an ad for your Troop.
Communicate with your Troop parents! Make sure they are aware of key dates, uniform requirements, etc.
We will need a 3rd or 4th grade troop to perform the Flag Ceremony and one-two younger Troops to usher in late comers and stand by the refreshments during the Ceremony. If you know of any available troops, please let the Ceremony Chairs know ASAP.
Have fun celebrating with your girls! They have worked hard to achieved their goal!
