Policy on Disclosure of Data
The Registrar’s files and records are strictly confidential as their disclosure is governed by Republic Act 10173 – Data Privacy Act (DPA) of 2012. With this,
A student is entitled to his/her transcript of records, but he/she is not entitled to know other records in his/her file which are confidential in nature.
A student is entitled to see his/her academic records, from which a copy was made, and is entitled to an explanation of any part recorded in it.
The students’ file cannot be taken out of the office unless specifically authorized by the Registrar, depending on the purpose for which it is needed.
School officials and faculty members of the institution may be permitted to look at the academic records of any students if needed to evaluate the academic standing of the student concerned.
Request for the production of a student’s record from the court are usually on a duly issued subpoena duce tecum but the student must be notified of the subpoena if he or she is available or if he/she can be reached through any medium of communication.
Records or grades maybe released to parents or guardian without prior approval of the student concerned if he or she is still a minor or has not yet been emancipated from parental authority.
Request for academic information from a company or firm to which a student has applied for employment or where he/she is employed or being promoted in position must be accompanied by a letter of authorization. An addressed stamped envelope should accompany this request. The same consideration should be accorded to requests from research or philanthropic organizations or government agencies supporting the student concerned.
Request for information on a student’s records made via official communication by an authorized agent of any government office or agency should be honored even without the prior approval of the person concerned, as long as the information sought for is limited to his enrollment, academic standing or school work, for the purpose of ascertaining his qualification or eligibility as an employee of this government agency.
Transcript of academic records should only contain information about academic status.
10. All requests regarding disclosure of students’ academic records should be made in writing and entered in the students’ file.
