Hard copy files are maintained at each school in a secure location--a locking, fireproof file cabinet in a locked room. These folders should hold any original documents such as signed signature pages. Only special education documents should be in these folders. Medicaid paperwork must be kept in a separate secure filing cabinet. Any Medicaid originals should go to the Medicaid clerk (Rachel Wilson) for filing.
Legally, a student's electronic special education record is equivalent to a hard copy record. Therefore, the files maintained in EDPlan are subject to the same confidentiality and disclosure requirements as a hard copy record would be.
Signature pages should be scanned and uploaded as External Attachments to the special education document they're associated with. For example, the signed Consent for Assessment should be attached to the "Event" Consent for Assessment in EDPlan. This ensures that the complete document is connected within EDPlan, and also helps keep students' Documents uncluttered. You can create an “IEP at a Glance” that can be provided to general education teachers. The IEP at a Glance shares relevant, important information about the student’s goals, services, and accommodations that must be provided in the general education classroom and during testing.
In Edplan “IEP at a Glance” can be created for a case manager's whole caseload. To do this follow the instructions below:
Go to Tools > Wizards > IEP at a Glance Document Wizard
Check all your students (or just ones you want to access) - > Click Continue
Select Sections for General Education Teachers:
Present Levels & Goals and Objectives
Services
Special Considerations
Accommodations/Adaptations
Create Final
You will do these same steps for each student.
Select all your students - View document batch and print.
Through this process: The IEP at a Glance will also be generated and held in the create/view documents of each student.
A new “IEP at a Glance” is to be created at the completion of the annual IEP and shared with general education teachers incuding specials teachers, as well as paraprofessionals.
