Beginning in January, teams will review caseloads to see which students will be transferring from their programs because of age or grade.

Case managers to review student files to see if any testing needs to be completed or updated. There may be an upcoming re-evaluation or other need for assessment before the end of the current school year.
Work with evaluation team members (e.g., school psychologist, SLP, OT) to complete the Re-evaluation Consideration form and seek Consent for Assessment, if needed.
Case managers will collaborate to ensure smooth transitions of students from one case manager or program to another.
Progress reports for all students on a caseload are due by the last teacher contract day of the school year. The case manager is responsible for creating the final progress report and sharing it with the parent. Other providers are requested to complete their portions promptly to allow the case manager to finish this task by the last day.

Near the end of the school year the Special Education Director will begin to pull exiting students' files from the active special education files and archive them. Notification of Records Destruction letters will be sent to the parent/adult student who exited or withdrew from a Network School 6 or more years ago.
Over the summer, records from >6 years ago will be destroyed unless the Network School has received a reply from the parent/adult student to the Records Destruction letter. In that event, the requested records will be mailed to the parent/adult student or made available for in-person pickup by the parent/adult student.
Evaluation records (also known as psych files) will be destroyed if >6 years as protocols are copyrighted and the Network Schools is responsible for ensuring their secure destruction. Protocols may not be provided to a parent/adult student although they have the right to request to review them under the direct visual supervision of a qualified staff member.
