The TIME Pilot tools provide a process for analyzing instructional materials while using them in classrooms. Through this pilot, you will apply the process and tools to help further inform the selection of CA NGSS instructional materials for district adoption and inform planning for classroom use.
Pilot tools provide guidance for further review of instructional materials selected through the Prescreen and Paper Screen processes as having potential of matching the district needs identified in the District Lens.
Google Folder Hierarchy for Grade Levels and their Student Learning Experiences (SLE)

Grade Level / Student Learning Experience (SLE) #X Guiding Document
1. Google Folders:
There will be three levels of folders for each curriculum pilot. These folders will be specific to a curriculum and will need to be recreated for each successive curriculum that is piloted.
First, create a Pilot Grade-Span google folder for participants to use.
Within your Grade-Span folder, create Grade Level folders.
Within each Grade Level folder, create one or more Student Learning Experience folder(s).
Note: Facilitators are expected to be the only ones creating folders and files within Google Drive. BUT, facilitators can choose to create all of the SLE folders specific to each grade level themselves or only create one SLE folder and tell grade level teams to copy the template folder and documents as they identify their SLEs.
2. Copy files:
Make a copy of each of the template files you will need. Note: There will only be one Grade-Span folder with one set of documents that is shared with the whole group, as all of these documents are meant to be collaborative, so participants should be instructed to not make copies of the Grade-Span documents. See note above regarding Grade Level SLE documents.
Link the files in the Grade-Span Guiding Document on the table of contents tab and on the cells that they are utilized. (Places where you need to place a link are filled in green.) If you are creating all of the SLE folders and documents for each grade level, repeat this step for each SLE Guiding Document.
3. Materials / Amount of Participants:
Identify how many grade levels and participants you will have.
Review all of the files to ensure the correct number of participants response spaces and grade level response spaces are given.
Decide if you want to use the Sheet or Doc version of the Guiding Document.
On VT.Pilot.01. Grade-Span Pilot Guiding Document:
modify Tab 1.Driving Questions and Tab 2.Planning the Pilot to reflect the grade levels in your pilot.
If you are including more than one grade-span in your pilot and want to calculate those score separately, make a copy of the Tab 3.Evidence of Support for Teachers - Tool 5 (H6) and Tab 4.SLE Average and Final Score within the Grade-Span Pilot Guiding Document, one for each grade-span.
Modify the following documents to be reflective of the number of grade level teams you have.
VT.Pilot.04. GradeXX - Selecting Student Learning Experiences - Make a copy of this document per grade level and label them accordingly.
Identify which version of the Pilot flow chart you would like to have participants reference, the original or modified version. (VT.Pilot.02. Pilot Materials Process and Tools Overview.pdf (H1) or VT.Pilot.02. Virtual Pilot Materials Process and Tools Overview.pdf (mod. H1) respectively)
Each grade level folder should have the following documents:
VT.Pilot.09. GradeXX Pilot Score Sheet (G1 & G2) - Make a copy of this document per grade level and label them accordingly.
Within each grade level folder, there should be at least one GradeXX / SLE#XX Folder.
Within it should be the following documents:
VT.Pilot.06. GradeXX / SLE#X -Tool 1a: Focus on Student Learning
VT.Pilot.07. GradeXX / SLE#X -Tool 2: Student Reflection on Learning (H3) - Modify this form with options for the first three questions (Program, Grade/Course, Lesson Title) or delete all three questions entirely.
This folder and its contents should be replicated for each Student Learning Experience the grade level is planning to collect student data on.
On VT.Pilot.05. GradeXX / SLE#X - Guiding Document (H2/H4/H5):
Modify Tab 5.Summary S's Work - Tool 4 (H5) for the amount of participants in that specific grade level team.
Modify Tab 6.Meeting Next Steps (G3) with spaces for any specific information you wish participants to record each time they meet.
Modify Tab 4.Summary - Tool 3 (H4) if you wish participants to use a specific protocol to come to consensus, such as a silent conversation protocol.
4. Generic Modifications:
Identify if you are planning to modify the flow of activities from the official TIME training and change files accordingly. Please note that although LEA’s may decide to do so, the NGSS Collaborative does not recommend that the flow of activities be modified.
A silent conversation protocol is used throughout (individual thinking and writing on the sheet/doc/jamboard prior to conversation). Identify where you would like to keep this protocol and where you could instead utilize time saving alternatives.
If a modified slideDeck is utilized, place it in the respective rubric folder for participants to access. All slide numbers listed in the Guiding Document currently align with the original TIME slide decks. Those numbers will need to be changed to match your modified slide Deck.
