Chromebooks can be used by anyone for everyday computing and web browsing. Chromebooks can also be part of a managed computer environment that allows schools to push out applications and settings to make using them even easier. By enrolling Chromebooks at your school, the devices become manageable by the Information Technology Office.

Enrollment & Management

What happens when I enroll a Chromebook?

Information from the Chromebook such as serial number, wireless MAC address, Chrome OS version, make and model are recorded in the Google Device Management app. Once this information is collected we can now move the device to the Organizational Unit (OU) of the school where the device is located. Making it easier for us to maintain Chrome OS version, applications and security on the devices.

Why should I enroll Chromebooks?

All Chromebooks in the District, including donated Chromebooks are required to be enrolled to the philasd.org domain for management.

The benefits of enrolling devices into District management console are:

  • Enrolled devices will be automatically registered to the District's wireless network.
  • Consistent settings will be applied to all enrolled devices (dangerous settings disabled, etc.). This allows the district to keep up with new features and changes within the Google environment.
  • Lists of enrolled devices can be easily viewed and printed for future inventory management.
  • Enrolled devices have a greater chance of being located if lost or stolen.
  • Devices must be enrolled to be valid for online student testing.
  • Devices must be enrolled in order to use future classroom management systems.

How do I enroll a Chromebook?

No software can be installed on Chromebooks, therefore, it would be up to Promethean to create some sort of App available for use in the Chrome browser or on a Chromebook. Since the District currently supports SMART, we know that they are moving in this direction with the availability of the SMART AMP app. If you are interested, your Technology Integration Specialist (TIS) can provide you with more information.

OUT OF THE BOX:


I. Turn on the Chromebook Network Connection Setup: Chromebooks will need to be connected to the Internet in order to set them up.

Turn on the Chromebook, Click on the "Let's get Started" button

II. Set the time and time zone if it is not correct!

(Look for it in the lower right-hand corner. You have once chance to do this. If you don't do it now, once the Chromebook is enrolled, you will need to use the Chromebook Restore Utility to reset the Chromebook in order to change the time and time zone.)


Select WiFi

Select Wireless Network Connection: PhilaSD WiFi

Enter Password: philadelphia


Sign on to Wireless Network

Click on “Browse Guest” this will be located on the bottom of the screen

This will open up the Chrome Browser - stating that you Browsing as Guest in the middle of the window

In the Address bar type “captive.apple.com” and press enter

This will load the PhilaSD Captive-portal page

Enter you District Username and password

Check the Box and Click on “Login”

Sign out as Guest

Click on the time in the bottom right-hand corner

Click on “Exit Guest”

This will return the sign window do not sign on yet.

Enrolling the Chromebook into the District

Press the CTRL+ALT+E keys

Enter your username - Anyone with a @philasd.org account can enroll a Chromebook - Student or teacher username and password.

Press “Next”

Enter your Password

Press “Next”

This will return the district SSO(Single-Sign-on Page)

Enter your username without the @philasd.org

Enter your password

Press the "Login" button

Wait for the message that you Successfully Enrolled in the Enterprise System

Click on the time in the bottom right-hand corner

Click on “Sign out Username”


Shut Down Chromebook

Click on “Shut Down” - located bottom left-hand corner


Turn Chromebook on - This will finish the enrollment process

Press the power button

The Welcome window will state “Managed by Philasd.org”

Click on the “Next” button

This will bring you to the PhilaSD Portal log in page

Enter just your username and password

Press the “LOGIN” button

Click on the Chrome Browser - at this point you can use the Chromebook for the rest of the day or let it sit at a website for about 15 minutes.


After the 15min or use for the rest of the day

Click on the time in bottom right-hand corner

Click on “Sign out username”

Click on “Shutdown”


Registering Chromebook in Wireless Database

This will be completed during a process at 440 Board Street - this could happen anywhere from 1 min to the day after you have completed all the steps above. If it has not please call the IT Help Desk at 215 400 5555.

How can I tell if a Chromebook is already enrolled?

  1. Turn the Chromebook (or restart the Chromebook if it was already turned on.)
  2. At the login screen, look for the words "Managed by philasd.org".
  • If you see those words, then the Chromebook is already enrolled.
  • If you one or more icons for user accounts, then the Chromebook is not enrolled.

If the devices is a District-owned device, then follow the steps described above in How do I enroll a Chromebook?

Can I purchase management license for donated Chromebooks?

Yes, you can purchase management licenses from Dell. Please refer to the Educational Technology Price List to get the name of the inside sales rep to request a price quote. The District's Google domain is philasd.org

Can families use Google FamilyLink with District Chromebooks?

No, Google's FamilyLink App cannot be used on District owned Chromebooks. If a family installs FamilyLink on District owned device, they need to remove the app from the device before a student will be able to use his or her account on it. Google accounts controlled by the District cannot be managed with FamilyLink.

To remove FamilyLink

If a family in unable to remove FamilyLink, they should return the device to the District for repair or replacement.

Recovery & Updates

How do I Powerwash a Chromebook?

  • Turn Chromebook on
  • Press the Esc key, refresh key (looks a arrow going in a circle, its above the 4 key) and the power button, all at the same time and then release
  • The screen will go black and then come to a screen with a Golden color exclamation mark
  • Press Ctrl+Alt+D and then enter key
  • The screen will once again go black and then come to screen with a Red color exclamation mark
  • Press Ctrl+Alt+D
  • The screen will go black again and than it will state that is process
  • Once that is done you need to press the enter key and the Chromebook will reboot

What is the difference between "Recover" and "Powerwash?

Powerwash will recover the Chromebook to factory setting using the ChromeOS that is installed on the Chromebook.

Recovery uses a USB drive (that you create) that has the latest Chrome OS version for that make and model provided from a Google maintained website. They both are started the same way by pressing the Esc key + Refresh key + the Power button all at the same time and then releasing.

How do I recover a Chromebook?

1. Create Recovery Media on USB Thumb Drive

  • On a Mac, Windows PC, or Chromebook - Better to use a Mac or Windows PC
  • Go to the App store and search for the Chromebook Recovery Utility
  • Download the Chromebook Utility
  • Using the Chromebook Recovery Utility
  • Identify your Chromebook
  • Type in the model number of your Chromebook to get the correct recovery image. You can find the model number on the recovery screen if your Chromebook isn't starting up.
  • Click the Continue button.
  • Insert your USB flash drive - 8GB or larger
  • Enter the model of the Chromebook you are recovering
  • This found by pressing the ESC the Refresh Key and Power button
  • At the bottom of the screen with the Golden Exclamation point you will find the mode.
  • Use the drop-down menu to select the appropriate storage media.
  • Click the Continue button
  • Create a recovery image
  • All of the data on the recovery media will be deleted if you continue.Make sure the media you'd like to use for your recovery is listed.
  • Click the Create now button.
  • The tool will then create the recovery image on your selected media. Don't remove the flash drive or SD card while this is happening. After you see the message saying that your recovery media is ready, you may remove it from your Chromebook.


2. Reinstall Chrome OS

  • At the "Chrome OS is missing or damaged" screen, insert the recovery media into the USB port or SD card slot on your Chromebook.
  • If you want, you can reinstall the operating system without seeing the error screen by going into recovery mode. Press ESC+REFRESH, then hold down the Power button.
  • The operating system will install automatically. When it finishes, you’ll see a message to remove your recovery media.After you remove the recovery media, your Chromebook will automatically restart.
  • Please follow the directions for enrolling your Chromebooks again.
  • Click on the button “Lets Get Started”


3. Select WiFi

  • Select Wireless Network Connection: PhilaSD WiFi
  • Enter Password: philadelphia


4. Sign on to Wireless Network

  • Click on “Browse Guest” this will be located on the bottom of the screen
  • This will open up the Chrome Browser - stating that you Browsing as Guest in the middle of the window
  • In the Address bar type “captive.apple.com” and press enter
  • This will load the PhilaSD Captive-portal page
  • Enter you District Username and password - a student username will not work for this log on. USE TEACHER USERNAME AND PASSWORD
  • Check the Box and Click on “Login”


5. Sign out as Guest

  • Click on the time in the bottom right-hand corner
  • Click on “Exit Guest”

How do I update my Chrome OS on a Chromebook?

  1. Turn Chromebook on
  2. Select Browse as Guest or log on with your username and password
  3. Click on the icon bottom-right hand corner
  4. Click on the Gear icon
  5. Click on the three bars in the top left-hand corner
  6. Click on About Chrome OS
  7. In the middle of the screen, you will the current version.
  8. At this point, you can click on check for updates.
  9. If there is an update it will download the update and asked you to reboot.
  10. If there are no updates it will let you know that the Chromebook is up to date.

How do I change the language of my Chromebook back to English?

  1. Turn on the Chromebook
  2. Select WiFi
  3. Sign in
  4. Most likely select WiFi again
  5. Click on the time in the bottom right-hand corner
  6. Click on the gear
  7. Click on the Second to the last option it should have an arrow
  8. Click on the third option it will have world icon
  9. Click on the arrow in the first setting box
  10. Make sure English is an option
  11. If not Click on add and select English
  12. Click on the three-dots of the other languages and select delete
  13. Click on the three-dots of English and check the box
  14. Close the settings
  15. Exit out
  16. Turn off
  17. Turn back everything should be back into English now.

Connecting other Devices

How do I add a printer to my Chromebook?

Add your printer to your Chromebook

  1. At the bottom right, select the time.
  2. Select Settings .
  3. At the bottom, select Advanced.
  4. Under "Printing," select Printers.
  5. Under "Available printers to save," next to your printer, select Save.
  6. Check that your printer appears at the top, under "Saved printers."

Advanced printer configuration

If your printer can't be saved automatically, you can use the advanced setup process.

  1. Next to the printer name, select Set up.
  2. In the box that appears, choose your printer manufacturer and model.
    • To find this info, look at the label on your printer.
  3. Select Add.
  4. Check that your printer appears at the top, under "Saved printers."

If your printer doesn't appear in the manufacturer or model drop-down menus, you can specify your printer PPD.

PostScript Printer Description (PPD)

Chromebooks use PPD files to support printers. PPD files are different from printer drivers and tell your Chromebook how to support a specific printer model.

  1. In the box that appears next to “Or specify your printer PPD,” select Browse.
  2. Choose your printer PPD, then select Open.

Important: Chromebooks support .ppd or .gzip file formats with a file size up to 250 KB.

Add a printer manually

If your printer doesn’t appear under "Available printers to save," you can also add your printer manually.

Important: If you're using a Chromebook at work or school, and you're not able to add a new printer, contact your administrator.

  1. At the bottom right, select the time.
  2. Select Settings .
  3. At the bottom, select Advanced.
  4. Under "Printing," select Printers.
  5. Next to "Add printer," select Add printer .
  6. Enter your printer information:
    • Name: Enter any name.
    • Address: Enter your printer’s IP address.
    • Protocol: For most printers, the supported connection protocol is IPP.
    • Queue: For most printers, the queue is ipp/print.
  7. Select Add.

If your printer can't be set up automatically, you can continue to follow the on-screen steps for advanced printer configuration with PPD files.

Storage & Maintenance

How do I prepare Chromebooks for storage during summer break?

When the school year ends, you might wonder what to do with your Chromebooks. Here are some best practices to help ensure your devices work as expected when you return for next year’s class.

Battery tips

  • Do not let the Chromebook battery fully discharge over the summer. Even when a Chromebook is off, its battery continues to slowly lose charge. If left long enough, the batteries might no longer function and can’t be recharged.
  • At the same time, you shouldn’t keep Chromebooks plugged into a cart or charger while in storage for months. This can reduce battery life and lead to other issues. If you’re storing Chromebooks for a long time, charge them to at least 80% and unplug them from a battery source, following the instructions below.


Storage tips

If you plan to store Chromebooks for an extended period, follow these long-term storage steps:

  • Do not stack more than 7 devices on top of one another, because the weight of several Chromebooks can damage screens. Place the Chromebooks in a secure location, such as a cabinet or cart where they won’t be accidentally knocked over.
  • Store your Chromebooks in a cool, dry area, near 78°F (25°C). Be sure to avoid direct sunlight.


Prepare Chromebooks for long-term storage

  • Charge your Chromebooks so that the battery is at least 80% full.
  • This ensures that even when the battery discharges while unplugged over the summer, it won’t fully run out of power.


To slow the discharge rate during storage, do not physically remove the battery from the Chromebook for storage. Instead, take the following steps:

    • Connect the device to a charger and turn it on.
    • Hold Refresh and Power at the same time.
    • While holding these keys, remove the power cable from device and then release the keys.
    • The device should shut down and remain off.
    • Confirm the battery disconnect worked by pressing the power button.
    • The device should not power on, despite having a battery charge. The Chromebook won’t power on by touching the power button or opening the lid, until you plug the device back to a power source.
    • If the unit powers on, you should repeat the powering down steps.
    • Once you have confirmed that the Chromebook is off store it in a cool, dry place, and near 78°F (25°C).

This is the ideal way to store devices. It reduces battery discharge to a minimum, prevents constant charge and discharge from reducing the battery life, and keeps the Chromebook in a stable, powered-off state.

Note: If you can’t put your model of Chromebook into the battery disconnect state described above, charge the battery to at least 80%. Then, turn off the Chromebook, unplug it from a power source, and store it in a cool, dry place.


Get your Chromebooks ready for school

A week before classes resume, get the Chromebooks ready for students.

  • Connect the Chromebooks to a charger and a power source.
  • This will get them out of the battery disconnect state.
  • Power up your devices.
  • Connect your Chromebooks to Wi-Fi and update them to the latest Chrome OS release.
  • This can take time, as multiple Chrome OS versions might have been released since the last time the device was updated.

Note: Failure to follow these steps could cause your batteries to reach a critically low charge when the Chromebook is stored for long periods of time and could result in permanent failure of the battery.

Dell provides a standard one year warranty on batteries. Batteries are a consumable item. All batteries degrade with time and use.

How do I find the Serial number of the Chromebook?

The serial number of a Chromebook is the service tag number which is located on the bottom of the Chromebook on a white tag.


If the white tag is missing or rubbed off you can locate the serial number by doing the following:

  • Turn the Chromebook on
  • Before login
  • Press ALT + V
  • In the top right hand corner you will the serial number - it is the number following the SN:

How can I find out my Chromebook system?

In the Chrome browser address bar, type the following URL: chrome://system. Then press the Enter key. You will see a screen similar to this, showing the Chrome version and other important details for technical support.
