The NPYM Webkeeper position is a contract position, with the Webkeeper assuming
responsibility for all required taxes and licenses.
QUALIFICATIONS
· Ability to edit websites built with Google Sites, PHP, HTML, Javascript and MySQL,
and ability to learn how to use other website builders currently employed by NPYM.
· Competence with Word and Excel.
· Fluency in English.
· Ability to work independently as well as part of a team.
· Familiarity with the Religious Society of Friends.
NOMINATION: The NPYM Information Technology Committee selects a candidate.
HIRED BY: Personnel Committee with approval of Coordinating Committee (CC) or Executive
Committee between Coordinating Committee Meetings.
REPORTS TO: Presiding Clerk; Personnel Committee.
EVALUATION: Annually by Personnel Committee. The Personnel Committee will request input
from the IT committee and other committees that interact with the Webkeeper
EXPENSES AND TRAVEL: Reimbursement is provided for office expenses (long distance phone
calls, postage copying, etc.) Travel expense is reimbursed according to the NPYM travel
reimbursement policy. Requests for reimbursement (or reports for “in kind” donations) with
receipts should be submitted to the NPYM Treasurer.
RESPONSIBILITIES
· The NPYM web keeper will keep the NPYM website up to date, repairing broken
links, removing obsolete content, and adding currently relevant content as needed. The
web keeper will also maintain the website within the existing (Google Sites) architecture
and design. The web keeper will communicate on a regular basis with the NPYM
secretary and committee clerks about removing items from the site as they become
obsolete. In this regard the web keeper will orchestrate an annual “spring cleaning”
requesting committees to review their related page content and assist them with old
content update and removal.
· The web keeper assists the secretary with any technical issues related to use of the
NPYM Zoom business account.
· The web keeper provides support for Annual Session, as requested by the Event
Planner, the Registrar, or agreed updates requested by the AS Planning Committee.
· The web keeper maintains NPYM’s Google Workspace account settings, including
management of groups and user accounts. and shared drives, using access provided
through the webkeeper@npym.org and admin@npym.org user accounts.
· The web keeper maintains NPYM’s document archive (npym.org/docs), admin system
(npym.org/admin), subscriber mailing list facility (lists.npym.org), back-end registration
system (npym.org/registration), and familiarizes themself with the website builder basis
for as.npym.org hosted at IONOS.com, and with the registration front-end system hosted
by cognitoforms.com.
· The web keeper maintains and adds to a set of documentation describing how to carry
out each element of their job, and an ongoing description of the components of the web
site and related systems, including login access information. This documentation shall be
maintained in shared drives (“webkeeper notes” and “website documentation”) available
to the webkeeper@npym.org and admin@npym.org user accounts, and to back-up
administrator accounts admin2@npym.org and secretary@npym.org.
· The web keeper has login access to the NPYM hosting account at ionos.com and uses
their administrative panels to maintain and create new databases, as necessary (e.g. for
cloning the back-end registration system for a new annual session year), and to maintain
“cron” jobs, as documented in the Website Documentation “need to know” subfolder.
· The web keeper is an ex officio member of the IT Committee, and is expected to
attend all IT Committee meetings if possible.
· Decisions as to content of the NPYM website are NOT the responsibility of the web
keeper, but of the NPYM secretary and NPYM committee clerks. However, the web
keeper may suggest changes to the content to stakeholders. Substantial changes should
always be taken first for consideration to the IT Committee.
