North Penn Theatre Guild Meeting

Agenda

 

1.     Thespian activities update

There was no representative from the NP Thespians to share information at the meeting. Discussed that the NP Thespians are currently running their Trick or Treat So Tots Can Eat campaign. Discussed working out a better system to collaborate with NP Thespians such as sending the NPTG an email and getting a digital copy of fliers or having one student join the NPTG FB group to post fliers.

 

2.     NPTG By-laws update

President reviewed the added Budget and Spending section.

 

Section 14   Budget and Spending

A.   Planned expenses must be approved by the Executive Board.

B.   New expense requests to support student-related activities may be approved by the Executive Board on an as-needed basis.

C.   The Executive Board may approve and spend funds (up to $75 each) up to three times annually to purchase gifts on behalf of the Guild.

D.   Income and Expense reports are available to the General Membership upon request. 

 

Members present discussed the idea of gifts given by the NPTG (item C) and felt that the NPTG should not give gifts outside of those that directly go to the theater program and students. Discussed that a separate collection could be taken up on a voluntary basis if necessary. A copy of the by-law changes was sent out to member email addresses on file for review. The by-law changes will be voted on at the next meeting.

 

3.     Fall Play – Sign-up sheets are up!

·        Volunteers needed Nov. 12-20

·        75 students involved with the production – every family is asked to volunteer/donate

Current members receiving emails through the NPTG with sign up information are less than the number of students associated with the fall play. Discussed the need for a volunteer to collect flowers.

 

4.     State conference – Volunteers with clearances will be needed!

·        Donate dinner items on Thursday, 1 Dec.

·        Work the conference Snack Stand on Saturday, 3 Dec.

Discussed that clearances will be needed to work the snack stand at the conference. Discussed that Stacie or Connie will need to find out times for snack stand; Secretary provided days and times from previous NPTG meeting. Discussed needing to ask Mrs. Roney for the conference schedule so that NPTG can decide on reasonable times for the snack stand to be open. Discussed that the final NP student attendance number is 56. NPTG is providing $15 towards 54 students and paying for 1 student on a hardship basis.

 

5.     Fundraising (banquet, state conference, student meals, senior gifts, student financial assistance, etc)

·        Trivia Night & Raffle Baskets (Saturday, 4 Feb. @ Grace Lutheran, Hatfield) 

o   Venue Organizers: Kate Leary, Rachel Notte, Connie Gallagher

o   Basket Organizers: Julie Kwon, Stacie Moseley

Discussed needing to get a license 30 days before the event. Suggestions were made for themed baskets, collecting gift cards, and getting donations from businesses.

 

·        Wawa Coupons: Connie Gallagher

Discussed that the NPTG will have the coupons in time for the fall play. Discussed selling them at meetings and reaching out to alumni. The hope is that this fundraiser can be a replacement for dine outs. The plan is to sell them for $4. Discussed option of using digital payment to pay for items, but the group decided against it due to associated fees.

 

Middle School Outreach - Not discussed

·        Raise Right fundraising for Middle School theatre programs

·        Middle School workshop (Friday, 13 Jan)

 

Broadway Cares (charity fundraiser) – Friday, 10 Feb - Not discussed
