North Penn Theatre Guild Meeting

Agenda
Introductions
1. Frozen
· Parent help needed with show and feeding the cast & crews
· Activity fee - $50 for cast only at this time due February 3rd
Rooney - Activities to be planned. There is a meeting tomorrow. Want to address community involvement and who will be responsible for it.
Michele is liaison for Guild and Mrs. Roney
Ticket sales possible to start March 15th. Working with ShowTix. Giving away 900 tickets to underprivileged children… first from NP and then from possibly outside… hoping some can come on Gold Card day and sit in balcomy… would need to address transportation
Food donations, candy grans and Wawa vouchers – may need to have two separate areas for snacks due to numbers
Roney - Need to think about parking, security, handling people if we are sold out
2. Fundraising
· Trivia Night & Raffle Baskets (Saturday, 4 Feb. @ Grace Lutheran, Hatfield)
Rachel - 16 tables of 8; a few seats still available
Stacie – 21 baskets; backdrop saying “game night” and bringing props and signs
No prize; bragging rights and posting pictures; Mrs. Roney offered 8 free Frozen tickets and will create a certificate
Do baskets between rounds – 7 rounds
Tickets – 25 tickets for $20
Rachel to email table leaders to tell team to bring cash
Smarties and Dum Dums
Documenting process for next year - Payal wants group to document every thing they have done this year to organize this event

Connie – have sold 104 as of 1/7/23 – see where we are as of April 1st and then buy more for Frozen
3. Broadway Cares (charity fundraiser) – Friday, 10 Feb
Reesa – publicity – setting up posters around school and community – requested that group share poster on social media
Payal shared concern regarding “gala” and misunderstanding of clothing to wear to come to show
Guild will do snack bar for the event in the glass concourse – have snacks available at the start of the show and during intermission
Coffee house before and during intermission
Auction wrapping up during intermission
Ideas to increase attendance – NPTV clip
Donations from people do not attend? – Mrs. Roney will speak to someone tomorrow about it or provide a link to Broadway Cares
Can not put chairs in lobby due to fire code
Silent auction not on flyer – need to let people know that they need cash or checks – upload pictures of auction items
Roney – talk to Mr. Gilmer about getting it on the radio shows
Payal asked about a run time because it tends to run long – Mrs. Roney said that it is difficult to have a set run time – approximately 2 hours – open door policy to come when you can
Can say sneak peek of Frozen and all three middle schools

4. 2023-24 Board Election – 10 May (?) – Meeting to stay May 3rd

5. End-of-Year Banquet – Sunday, 21 May @ Normandy Farm, Blue Bell

· Ordering senior gifts
Guild runs the banquet
Need to get head count 2 weeks before (May 7th) – deadline May 5th for final head count
$40 pp
We are paying for seniors in full
Maybe $10 off for other students, but need to wait to see # of seniors
Sr. gifts are blankets – Michele is working on that – purchase blanket and then have them embroidered
6. Fundraising for 2023-24 school year ideas
· Comedy Cabaret (Doylestown)
· Childrens’ fun activity with characters
· Clothingandshoedrive.com
Looking for volunteers to look into what we can and can not do to plan for next year
Cover fundraising more at next meeting
