Create orders faster and track your parcels more better with powerful order creation and tracking features

Create grouped parcels, returns, generate reports and analyze your deliveries.

1 Create a new CSV Mapping template

CSV Mappings can be created from one of two places - when creating an order and in Order Create Settings in My Account.

Creating a new CSV mapping template when creating an order:

  1. When creating your orders and are prompted to choose an input method, select Upload a File
  2. Upload a file by choosing a file or dragging and dropping
    • Need some help getting started with a file upload? Download a file template that you can use.
  3. Select a File Mapping Template
    • Choose between Domestic or International file mapping templates
    • Note: If the columns in your file matches our standard template, you'll be prompted to use our standard template
  4. Map our fields to the columns in your file
    • TIP: We will display the first 3 rows for each column in your CSV file as separate sections so that you can "preview" your file and double check that you've correctly mapped your file
    • All mandatory fields need to be mapped
  5. Save the CSV Mapping and provide a name for your CSV mapping









Creating a new CSV mapping from Order Create Settings in My Account:

  1. Navigate to My Account and click on Order Create Settings
  2. Click on Create New Mapping
  3. Upload a sample file to be mapped by choosing a file or dragging and dropping
  4. Select a File Mapping Template
    • Choose between Domestic or International file mapping templates
    • Note: If the columns in your file matches our standard template, you'll be prompted to use our standard template
  5. Map our fields to the columns in your file
    • TIP: We will display the first 3 rows for each column in your CSV file as separate sections so that you can "preview" your file and double check that you've correctly mapped your file
    • All mandatory fields need to be mapped
  6. Save the CSV Mapping and provide a name for your CSV mapping

2 Bulk Upload fields and validations

Uploading your orders in bulk but unsure of you're providing the correct values or wanting to upload additional information? Refer to the table below or see our documentation on Ninja Dashboard Bulk Upload Fields for additional information.

3 Create international orders

International orders can only be created by uploading your international orders in bulk. For international orders, we will need the following additional information:

  • Customs Description
  • Currency (Mandatory)
  • Customs Value
  • Battery Type (Optional)
  • Battery Packaging (Optional)
  • HS Code (Optional)
  • Made in Country (Optional)
  • Trade Terms (Optional)
  • Locker Pickup (Optional)
  • Parcel Volume (CC) (Optional)

The following fields will also be mandatory:

  • Recipient Postal Code
  • Recipient City
  • Recipient Country
  • Recipient Contact
  • Recipient Name

4 Update my bulk upload file template mapping

We understand that your file template may change from time to time for example when you change or update your Order Management System (OMS). When this happens, you can update your bulk upload file template mapping while you're creating your orders or in Order Create Settings in My Account.

Updating a new CSV mapping template when creating an order:

  1. When creating your orders and are prompted to choose an input method, select Upload a File
  2. Upload a file by choosing a file or dragging and dropping
    • Need some help getting started with a file upload? Download a file template that you can use.
  3. Select the File Mapping Template to be edited
  4. Update the file mappings by dragging and dropping the correct fields to columns in your file
    • TIP: We will display the first 3 rows for each column in your CSV file as separate sections so that you can "preview" your file and double check that you've correctly mapped your file
    • All mandatory fields need to be mapped
  5. Save the CSV Mapping




Edit a CSV mapping from Order Create Settings in My Account:

  1. Navigate to My Account and click on Order Create Settings
  2. Select the File Mapping Template to be edited
  3. Update the file mappings by dragging and dropping the correct fields to columns in your file
    • TIP: We will display the first 3 rows for each column in your CSV file as separate sections so that you can "preview" your file and double check that you've correctly mapped your file
    • All mandatory fields need to be mapped
  4. Save the CSV Mapping

5 Get a price estimate

Not sure how much it costs to send a parcel? Use our price calculator tool! It's available when you choose to create your orders manually.

  1. Click on + CREATE ORDER on the left navigation bar
  2. Enter in your pickup information
  3. Create your orders manually
  4. Enable the Price Estimate toggle
  5. You'll get a price estimate based on the order details entered
  6. Delivery price estimates for other delivery types available will also be displayed
  7. Opt for another delivery type by clicking on the delivery price estimate for a delivery type displayed

6 Actions that can be taken on an order

We want to empower you to take actions on your orders anytime, anywhere. Here are the order actions that can be taken:

  • Print airway bills (AWB)
    • For all Pending Pickup orders
  • Rollback
    • For all Pending Pickup orders
    • NOTE: Tracking IDs for orders that have been rolled back can be reused
  • Edit
    • For orders that are Pending Pickup, Pickup Failed, En-route to Sorting Hub, Arrived at Sorting Hub, Van En-Route to Pick Up
  • Reschedule
    • For Pickup Failed or Pending Reschedule orders
  • Stop Delivery (aka trigger RTS)
    • For non-Completed orders that are with Ninja and are not on vehicle for delivery
  • Download Proof of Delivery (POD)
    • For Completed orders

7 Saving Ninja Dashboard to my phone's home screen

Ninja Dashboard is a mobile compatible and can be added to your phone's home screen for easy access. Here's how to add Ninja Dashboard to your home screen.

Adding Ninja Dashboard to your home screen on IOS:

  1. Open Safari and navigate to dashboard.ninjavan.co
  2. Click on the Share icon
  3. Select Add to Home Screen
  4. Click Add
