About the Role
We are looking for a full-time Intake Solutions Specialist to handle all inbound calls. This role is critical in ensuring that our existing clients, potential clients, and other callers receive a warm, professional, and knowledgeable first impression when contacting us.
The ideal candidate is personable, articulate, and comfortable speaking with lawyers and other professionals. You should be able to clearly communicate in English, preferably with a neutral or slight accent, and manage conversations with empathy, patience, and efficiency.
Key Responsibilities
● Create a relationship-oriented, exciting first impression.
● Serve as the first point of contact for all inbound calls.
● Answer, screen, and route calls appropriately to the right team members.
● Handle inquiries from existing clients (mostly attorneys), potential clients, and other professional contacts.
● Send a handwritten postcard to first-time callers.
● Provide accurate information about services and escalate calls when necessary.
● Maintain detailed call logs and records in CRM or designated systems.
● Follow intake protocols to ensure every caller feels heard and valued.
● Collaborate with internal teams to relay important messages and follow-ups.
● Represent the company with professionalism, confidentiality, and empathy.
Qualifications
● Excellent English communication skills (verbal and written).
● Self-starter, proactive, and able to improve the customer experience by going the extra mile.
● Clear, professional phone presence with the ability to build rapport quickly.
● Prior experience in intake, customer service, call center, or receptionist roles strongly preferred.
● Comfort and professionalism in speaking with attorneys and other high-level professionals.
● Personality that enjoys building relationships and rapport with people.
● Strong organizational skills and attention to detail.
● Ability to multitask, prioritize, and manage time effectively.
● Tech-savvy with experience using CRMs, call management tools, or similar software.
● Availability to work full-time during Mountain Time (MT) hours.
