How I prepared the staff meetings and more
Held the meetings weekly starting from the first week of June and the final week of the preparation was 2 days in a row on Wednesday, June 14 and Thursday, June 15. Since June 16th was a holiday of Juneteenth, it was tough to conclude everything a day early. If it was an in-person program, the staff is aware of what kind of contract (no day off, we start 3 days earlier than the program starts) but during the pandemic, everyone had something it was difficult to gather everyone's schedule with their health issues, family issues etc.
To keep everything organized and in order, I created the meeting agenda each time, timed roughly so that the staff can expect how long the meeting would be.
All the meetings were recorded and uploaded to youtube so that everyone could re-watch it when necessary and also it is convenient for the staff who missed to attend the meeting. Also, the next Director or staff can also watch it next year.
