This page provides information on the backlog cataloging project begun in 2022 and contributed to by several staff but mainly performed by the Assistant Librarian, Cataloging hired for the task.
For general purposes and for keeping statistics on current work, the cataloging backlog is defined in this way:
If an item (i.e. a publication, volume, issue, object, etc.)
has been stored by or in the library for more than two years
has been identified as something we should continue to own rather than deaccession
and is not represented by a bibliographic record in our catalog
Then it is considered backlog.
The most significant group of backlog material is located in Storage Room B in the basement at QNS. This will be the major focus of backlog work. But other materials considered backlog may be located in basement Storage Room A, in the midlog, or elsewhere and will be identified for the catalogers by the Head of Library Services.
Add an additional 852 to tag the Backlog project begun in 2022 and carried out in some part by all staff, though mainly by the Assistant Librarian, Cataloger hired for the task.
All materials to receive this tag will have their backlog status clearly identified to the cataloger or the cataloger will have pulled the item themselves materials labeled as backlog.
The main project code is BKLG.
Any additional 852s added to the record must include a $a for our institution code and the tag must be entered in a $x as follows:
852 __ $aNNMoMA $xBKLG
952 __ $aNNMoMA $xBKLG
A Normalization Process has been created in the ALMA MDE to conveniently add this tag to any bibliographic record (original or copy-cataloged) being added to the system. See below for instructions.
Instead of hand-typing the additional 852 and 952, a normalization process has been created which allows the cataloger to add them more quickly by selecting from a drop down menu as follows:
With your catalog record open in the MDE, open the menu Editing Actions>Enhance the Record
Note that this can be done with a keyboard shortcut Ctrl+Alt+E or Ctrl+Alt+W
2. From the drop-down menu select "MoMA Add BKLG Note."
Instead of scrolling, you can jump to the choice by typing "M" six times.
3. After selecting the correct process, click ok. Your catalog record will reload with the new 852 and 852 fields at the bottom. They do not need to be moved.
