GEC numbers
GEC catalog call numbers contain 3 parts
GEC [i.e., the letters meaning: Group Exhibition Catalog]
The year of the exhibition
The 4 digit number representing the sequential holding.
EXAMPLES
GEC 1964 0001 = The first holding of a group exhibition catalog
held in 1964
GEC 1964 0026 = The 26th holding of a group exhibition catalog
held in 1964
GEC 1964 2335 = The 2,335th holding of a group exhibition
held in 1964
To determine which number is the next number to be assigned to a GEC catalog use the ALMA “Browse Shelflisting” feature under Resources in the left margin.
The settings for “Browse Shelflisting”:
In the Call number level box, leave the default: “Holdings call number”
In the Library box, choose MoMAQNS
In the call number type box (upper right) browse down for the “Other Scheme” choice.
Finally, in the Call Number box, type GEC yyyy 9999
Why 9999? The quickest way to find the latest GEC number assigned. The resulting display usually shows the next year requested. Choose the left arrow on the upper right of the list to go back and view the latest number that had been assigned.
When determining the latest GEC number assigned for a given year, skip over numbers at the end of the shelflist that begin with periods. For example, in the following shelflist, disregard the final two numbers when determining the latest assigned number.
Also when determining the latest GEC number assigned for a given year, skip over numbers at the end of the shelflist with more than four digits following the year of exhibition. For example, in the following shelflist, disregard the final four GEC numbers when determining the latest assigned number.
AEC numbers
AEC catalog call numbers contain four parts:
AEC [i.e. Artist Exhibition Catalog]
Up to the first seven letters of the artist’s surname as it should be filed (e.g. RODCHEN, BEARDEN, SMITH…)
The year of the exhibition
Four digits representing the date the item is cataloged or processed (e.g. 0212, 1109, etc.) The only purpose of this line is to create a unique call number in case we hold more than one AEC for an artist published in the same year. In the unlikely event that more than one AEC for the same artist published in the same year is processed on the same date, simply choose another four-digit number.
