When copy cataloging AECs and GECs, follow all of the directions in Copy Cataloging Basic Instructions as usual with the following exceptions.
Disregard the requirement that a record must include an 050 field with LC classification number.
Follow the instructions in the relevant section of the instruction sheet, Assigning GEC and AEC call numbers, on the ALRC website
Add an 852 8_ (rather than 852 0_)
Enter the entire call number in 852 $h, with no $i
Add any other applicable 852 fields (e.g. LACM, BKLG)
Copy and paste all 852 fields into duplicate fields, changing 852 to 952, as usual
Examples:
852 8_ $a NNMoMA $h GEC 2004 0298 $x CO20221114ig
952 8_ $a NNMoMA $h GEC 2004 0298 $x CO20221114ig
852 8_ $a NNMoMA $h AEC VILLANU 2004 0926 $x CO20220926ig
852 __ $a NNMoMA $x LACM
952 8_ $a NNMoMA $h AEC VILLANU 2004 0926 $x CO20220926ig
852 __ $a NNMoMA $x LACM
After either...
A) importing the record to Alma and opening it in the Metadata Editor,
or
B) opening an existing Frick or Brooklyn record in the Metadata Editor, and making any necessary edits (e.g. adding 852 and 952 fields)
...open, but do not immediately save, a new holdings record. Complete the following steps
In the holdings record, change the first indicator of the 852 field from 0 to 8 (i.e. the holdings record should have 852 8_ , not 852 0_)
Change the location code in 852 $c of the holdings record to either mqe for AECs, or mqg for GECs
Manually copy and paste the call number from 852 $h in the bibliographic record (and only 852 $h, not the entire contents of the 852 field) into 852 $h of the holdings record
Save the holdings record
