Campus Device Check-In/Out Process
New Student Enrolling
Campus Registrar:
Check IncidentIQ to see if the student has a device or charges on their account from a previous in-district campus enrollment.
Click on the Search field (top right area)
Search for the student by name or email
Click the Device details> next to their name
Owner: - will show any devices currently checked out to the student
Timeline- will show any charges that they may have pending
If “Insurance” is listed, that is not a fee; it shows they paid for that particular school year to have device coverage.
Tell the student that the device they already have assigned will need to be used. If charges for a lost charger or device are on the account, let them know that their student will not be able to get a device assigned to them until the account is cleared.
Devices should not be assigned to students if they do not appear in the asset management system (IncidentIQ). Note that if students are new to Manor ISD, they will not show up in the asset management system (IncidentIQ) for 24-48 hours after enrollment. Let the student know that a device will be available for check out once they are completely enrolled in the system. Be sure they know who to check with to receive a device at a later date.
Hand parents the Device Use Agreement Form to read and sign if they want their child to have access to a device. Parents or guardians can opt-out of this process but must sign the last page of the Device Use Agreement form. It is not mandatory that a student has to take one of our devices. Students can opt to use their own personal devices as well. The district is not liable for lost, stolen, or damaged personal devices.
Person responsible for checking out a device:
Be sure you have a Technology Device Use Agreement Form signed and completed by the parent/guardian.
Log into Asset Management (IncidentIQ)
Click on Assets (Right Side)
Click on Check In / Out
Scan or type in the asset number and hit LOOKUP
In the "Check Out To:" look up the student by name using the magnifying icon.
Click "CHECK ASSET OUT TO USER"
If successful, the device will show up with the student's name under "owner."
Hand the student the Chromebook, charger, and Chromebook Tip Sheet (if needed).
*Let technology know of any tag issues via a technology work order so we can fix any issues with inventory.
Student Transferring within Manor ISD:
Registrar:
Check Asset Management (IncidentIQ) to see if the student has cleared all obligations.
Have them verify the tag number matches what is in the system and has been assigned to them. This will ensure they take the correct device to the next campus.
No need to collect it unless it is the wrong device.
Student Withdrawing: Leaving Manor ISD
Registrar:
Check Asset Management (IncidentIQ) to see if the student has a device or charges on their account.
Click on Search (top right area)
Search for the student by name or email address
Click on the student's name
Devices - will show any devices currently checked out
Internal Comments: - will show any charges or fees that they may have pending
If “Insurance” is listed, that is not a fee; it shows they paid for that particular school year to have device coverage.
Tell them the device(s) must be turned in and any pending fees paid for before they can withdraw from the district. Any charges will need to be addressed.
Person responsible for checking in a device:
Log into Asset Management (IncidentIQ)
Click on Assets (Right Side)
Click on Check In / Out
Scan or type in the asset number and hit LOOKUP
If asset is assigned, an Asset Found window will display the current users the device is checked out with
Click on "CHECK ASSET IN" button. The current status will change to "Not Assigned" if done correctly.
Be sure to collect the Device charger. If damaged, missing piece, or lost, they must pay the $20 replacement fee.
The campus is responsible for holding the student liable for returning the charger or paying the fee. If the fee is not paid by the student, the campus will be responsible for replacing the charger at full cost.(Quoted through Technology Department)
If the device is reported as lost by a parent, guardian, and/or student, charge a fee of $275 for the Device (and $20 for the charger) and report it to Technology.
Report to Technology immediately
IncidentIQ> New Ticket > Device / Hardware > Chromebooks > Google Chromebook > Missing Device / Peripheral > Device Lost or Stolen
The device will be locked down with a return message if possible.
A Device Replacement Fee will be assessed to the student
The campus is responsible for holding the student liable for returning the device or paying the fee. If the fee is not paid by the student, the campus will be responsible for replacing the device at full cost.(Quoted through Technology Department)
The device will be marked Lost.
IF withdrawn and devices not returned:
Report to Technology immediately
