Check the Mastermind Roster/Client Board to make sure anyone who was supposed to be charged, was charged successfully. The dates they are charged are all listed on the roster.
Go into Stripe and search using their email address and verify that it was not declined. Check it off on the Roster that their payment was successful.
If it was declined, follow the decline protocol.
Check Mastermind Client Board and check Stripe daily to see if anyone was charged and check them off the mastermind list or send an email if they were declined.
Open the Client board in Trello to see if there are any notifications on cards to check payment.
Cross-reference Stripe with the Client Board to make sure that every person’s payments are cleared.
Copy and paste all new members into the Mastermind roster/Client Board.
Check off that month's payment in the checklist in their card, then set a due date for next month and assign yourself to the task.
If the payment did not clear, send a templated response email to the client to let them know.
Send Bella a list of all outstanding payments.
Follow up with the client once a day for three days.
If any are outstanding at that time, follow up with Bella again.
NOTE: Some Mastermind members are charged on different days. Note the date that the member is charged.
Visit Stripe, and go to the Payments tab. Here, you can see the list of payments that are tagged as succeeded, refunded, or uncaptured.
2. To view a client’s payment details, click on a transaction from the list. You will see the client’s personal details which you can cross-check to the Client Board/Ultimate Spreadsheet.
Reminder: You may also include some notes about a certain client in the description
of their client card in Trello.
NOTE:
There are some members who have credit card issues and will need to be charged manually in Stripe.
When someone renews their annual membership you can send them the following as a Gift.
Go to Bella's Etsy account
Choose the color as white and add their first name using the B112 font
Add to cart
Select as "gift" and add the message "Thanks for being a JUMPER!"
Proceed to check out and make sure to add a new address and put in their details we have logged in the client board
Schedule reminder emails to go out 1st of every month
If renewal falls on the 1st of the month, schedule with previous month.
Once the payment goes through for the annual membership send them the same water bottle as a thank you from etsy by following the instructions above.
Then go into woo-commerce in the backend of the WP website for Jump Consulting. Go to subscriptions, enter their email or name to see their subscriptions. Then press cancel on their monthly subscription.
Then adjust the Client Trello board and spreadsheet to say they now have the annual membership. Then set a reminder 30days before their next payment is due so we are aware on our end.
