New Employee Orientation and Welcome Packet

In the first few days of your employment, you will be contacted by a colleague that will be your orientation guide. Your guide will schedule a time to meet with you at which time you will be given a New Employee Welcome Packet containing information, resources, and a few goodies. Your orientation guide will go over some of the things in the packet, review this website with you, and provide you with a new employee checklist. Your guide will then schedule a follow-up meeting with you in about a month to go over and collect the checklist from you.

    • Faculty members - your orientation guide will continue to check in with you over the first semester to make sure your first semester goes as smoothly as possible.

Hawaiʻi CC Name Badge and UH ID Card

All Hawai‘i CC employees should obtain a name badge.

    • Check with your supervisor or clerical support staff to have a request submitted.

You are also entitled to purchase a University of Hawaiʻi ID card for $10.00. UH ID cards are required to borrow books at the UH-Hilo Library, obtain certain campus discounts, etc.

    • East Hawaiʻi - Go to UH-Hilo's ID Station (located in the Campus Center building on the UH-Hilo campus. Read more about obtaining UH ID cards on the UH-Hilo ID Station webpage.

    • Pālamanui - Go to the Library & Learning Center in C-148

Keys

You may be eligible for a building/office/classroom key.

    • Check with your supervisor or department chair for eligibility and he/she will fill out the key request.

Parking information

Parking on the Manono and Pālamanui campuses are free, but employees who park a vehicle on the UH-Hilo campus need a parking permit.

Payroll FAQs

The UH Payroll Office is responsible for processing payroll for all campuses within the UH System, but please contact the Hawaiʻi CC Human Resources Office if you have any questions about your payroll.

  • When are employees paid?

      • Faculty and Staff are paid on the 5th and the 20th of the month. If these dates fall on a weekend or holiday, payday is the previous workday. However, depending on the type of employee, when you are hired determines if pay is Lag or Lag (After-the-Fact).

        • Lag: Faculty (9-month & 11-month), lecturers and employees hired before 7/1/98 are paid 5 days after 15th and end of each month (5th and 20th).

          • For example: Pay period: 8/1 - 8/15, Pay date: 8/20

        • Lag (After-the-Fact): Employees hired on or after 7/1/98 are paid 1 pay period plus 5 days after the 15th and end of each month.

          • For example: Pay period: 8/1 - 8/15, Pay date: 9/5

  • When are W-2 forms distributed?

      • Each year, it is distributed distributed no later than January 31.

  • How do I access my pay statements?

Leave programs (approved time away from work)

The University of Hawaiʻi believes that leave is an important benefit that provides a means for employees to have approved time away from work. Refer to your union contract or the UH System Human Resources' Leave website for more information about the different leave programs that you may be entitled to participate. If you have any questions about these programs or your eligibility, contact the Hawaiʻi CC Human Resources Office.

    • All leave requests are submitted and approved online. Learn more about the online leave system where you will create and submit leave requests. (Will require UH log in.)

Union information

Three unions are represented at UH: HGEA, UHPA, and UPW. Contact your bargaining unit for information and assistance.
