Accreditation - The CMHC, MCFC, and School Counseling programs are CACREP accredited, which requires annual reporting of assessment data points. Your course may contain a Key Performance Indicator (KPI) data point that needs to be submitted to the GSC Grad Assistant at the end of each semester. You will receive an email from gscgradasst@georgefox.edu with instructions as needed.

Missed class time for late starts or missed days due to weather, holidays, or other university closure, needs to be accounted for in the overall hours of the course.
Every course credit represents 15 hours of "seat" time, which includes class activity that can be both synchronous and asynchronous. For example: a 3 credit class meets for 45 fifty-minute hours that can be a combination of in-class time, synchronous, or asynchronous activity.
Some courses have built in cushions during a 16-week semester, but if not, an asynchronous assignment/activity should be used to replace the missed time. For example, if your Monday class is closed for a university holiday (and doesn't meet that extra 16th week) the class time missed should be replaced by an asynchronous activity that equals the same amount of time missed in class.
It's a great idea to build in or have an asynchronous activity in your back pocket in case the need arises.
If you need to miss class unexpectedly due to illness or emergency, email your class or send an announcement through your Canvas course letting students know as early as possible. Provide alternate activities to make up the seat time. For emergency assistance, contact the GSC at 503-554-6104 or 503-554-6023, or 503-554-6021.
A planned instructor absence should be very rare and the seat time for students should be made up with asynchronous class activities or by holding class during week 16 (finals week) if an exam is not scheduled.
University Supervisors providing group supervision in Practicum or Internship/Treatment Planning/CP where intern supervision needs to be covered for a week should follow the process linked here.

Class Schedule/Room Assignments

Choose the Term, Class Level (Graduate), and Subject (GCEP)
Scroll down to find the class you are teaching and click on the title. A text box will open with meeting dates, times, location and classroom assignment.
Class Meeting Session Dates
Each course has been assigned a session. The session start date is when an assignment or some form of academic activity needs to take place. The session end date triggers the grading deadline which is one week after the session end date.
Most classes that meet weekly during the term are assigned a session that starts the first week of the term and ends the last week of the term. However, many weekend courses, (especially 1 credit courses) may have session dates that are shorter than the full semester dates.
Be sure to assign academic activity by the first day of your session and complete your grading one week after the end of your course session.

Class Breaks - each course credit represents 15 hours of classroom seat time including breaks. When calculating your class schedule, it is customary to provide a 10-15 minute break for students every 1 ½ to 2 hours, with an hour for lunch if you are teaching a day-long course.
Class Rosters - can be found on your class's Canvas site, and you can access a class roster with student photos in your my.georgefox.edu account using these instructions. You can even email some or all of your students from a class roster using the instructions found here.
Computer Equipment
Adjunct Faculty who do not have the use of their own computer may be eligible for use of a laptop through GFU's Institutional Technology (I.T.) department. Contact gsc@georgefox.edu for information on how to process your request.
Full-time faculty will be contacted by I.T. regarding computer preferences (MAC or PC) during the onboarding process and can make arrangements for pick up at the Newberg Campus or Portland Center.
Email protocol - the University has guidelines regarding your email signature line and best practices regarding email etiquette. Find that information here.
Emergencies - On rare occasion, you may experience an emergency within the classroom such as a student fainting or experiencing some other medical emergency. As the first step in emergency situations, please ask the class if anyone has training that would allow them to assist with the situation (such as first aid or CPR). Secondly, we have staff at the front desk of the Portland Center who are available to help. Peg Hutton is there during select weekdays and Paul is the security officer on duty during the evening. As always, if the emergency is severe, be sure to call 911.

If there is no one at the Atrium desk call 503-554-2090 for Campus Public Safety in Newberg. They have protocols in place to assist, but the disarming method for the door between the Library and Counseling Clinic is available here if needed.

ID Card and Building Access - the Portland Center doors are always locked and accessible by ID card only. Once you have a GFU email address, you can order your ID card by filling out the form: ID Card Photos - Employees. (Please make sure to be signed in to only your George Fox email, no other Google accounts, or you will not be able to access the Google form.)
Once you have filled out the form, I.T. will create the card at their office on the Newberg campus. Please contact our Grad Assistant at 503-554-6104 or gscgradasst@georgefox.edu to arrange for the card to be sent to the Portland Center for you to pick up or so we can mail it to your home.

Your GFU ID card also serves as a swipe card to access the Portland Campus building and we will request that you have 24/7 access.
Outside of normal business hours, the front doors to the GSC offices will be locked. You can gain access to the offices by entering through the back door, which is controlled by a keypad. The back door is located at the end of the library study space, near the restrooms. The access code for this door is 350621.

Faculty Mailboxes are located in the locked mailroom (Office #103) in the front entrance of the GSC offices in the Portland Center. The mailroom is accessed through a keypad using the same code as the GSC copy code: 230200.
Location
Portland Center: 12753 SW 68th Avenue, Portland, OR 97223 Building is accessible through a cardlock system and you will need your GFU ID card for entry.
The Portland Center Access Policy limits student access to the building after 10pm unless a faculty or staff member is present and willing to take responsibility for the students' safety.
Parking at the Portland Center is not restricted, but is limited. We have permission to use the parking lot on the corner of 69th & Hampton after 5:00 p.m. and on weekends.
Payroll - GFU payroll is paid on the last business day of each month and for adjuncts, that will be in the months when you are teaching. For fulltime faculty, payroll is spread over 12 months regardless of the length of your contract. You can view your paycheck information through the "Payroll" tile in your My.Georgefox account. Contact Beth Hampton in the Newberg Payroll Department at 503-554-2185 or bhampton@georgefox.edu if you have any questions.
Peer Mentors - the use of peer mentors, clinical mentors, or teaching assistants (TAs) must follow specific guidelines to avoid breaches of confidentiality and GSC department policies. Please carefully review then Policies and Guides page for complete details.

Restrooms & Nursing Room
When orienting your students to the Portland Center, remind them that there are 4 sets of bathrooms, and 2 single-use bathrooms in the building. The single use ones are across the hall from the Seminary’s office on the north end of the 2nd floor and on the first floor in the library/study space around the corner from the mens/womens restrooms and water fountain. Here is a map of those locations.

Security - the desk in the first-floor atrium is staffed by Campus Public Safety from approximately 2pm-10pm Monday through Friday. It is also staffed by a receptionist from 8am-2pm Monday-Friday and Lost and Found items can be submitted there. The atrium desk phone is 503-554-6196.
Semester Schedule - the semester calendar with holidays and other important dates is available in the GSC information site in Canvas called The “Waiting Room” . Once your GFU email address is generated, you will receive notification of enrollment in the Waiting Room.
Student Handbook - the GSC Graduate Student Handbook provides detailed information on GSC processes and policies. Students can be directed to this resource and if they have questions, should consult their faculty advisor. Adjunct faculty are welcome to connect with their course lead for clarification or if questions arise that are not addressed in this resource, the Student Handbook, or the Waiting Room.
Student Papers/Assignments - If an assignment is being turned in as a hard copy, it is best turned in and returned during regular class time, however, when that is not possible, students should turn the assignment in a self-addressed stamped envelope and drop them in the locked Student Papers Drop Box in the Portland Center library. Those papers are then placed in the faculty mailbox for grading. It is up to the instructor to mail them back to students.
Supplies - a variety of supplies are available. If you need a special item, contact the GSC Grad Assistant at gscgradasst@georgefox.edu. There is a supply storage room with a variety of supplies in the Graduate School of Counseling workroom.
The Graduate School of Counseling should approve any reimbursable expense prior to your making a purchase. Once approved:
Adjuncts: Please use an expense reimbursement form to claim expenses. Expenses under $100 may be reimbursed out of petty cash. Claims over $100, must be submitted to Financial Affairs. Please give your form and your receipt(s) to the support staff person for reimbursement. Allow 2-3 weeks for payment.
Full-time Faculty: Please use Concur Expense for all GFU expense reimbursements.
Teaching Assistants (TAs) - carefully follow the Policies and Guides information when using a TA in your class.
Technology - George Fox academics use a host of different platforms and online tools that can be dizzying at first.

Waitlists
Occasionally your class enrollment will be full and there will be students on the waitlist (see https://class.georgefox.edu) Waitlists are reviewed regularly by the department administrative assistant and decisions on increasing enrollment limits are up to the Department Chair. Please direct any student inquiries to the department Program Coordiantor (gsc@georgefox.edu) Please DO NOT allow students to attend your class unless they show on your class roster as enrolled.
