Course Evaluations and Grades
Student (Course) Evaluations
A formal procedure by which students evaluate faculty and courses takes place according to the following guidelines:
All adjunct faculty are evaluated using the student evaluations system adopted by the Office of Academic Affairs in each of their courses and typically receive email notification when the evaluation has been scheduled by the Executive Dean's Office.
All full-time faculty members new to George Fox University are evaluated using the student evaluation system adopted by the Office of Academic Affairs in each of their courses and lab sections in each semester of their first three years at the university.
After the first three years of full-time teaching at George Fox University, each non-tenured faculty member is evaluated in one course or lab section each semester. The course or lab section to be evaluated is determined by the department chair or director of the school in which the faculty member teaches. If the faculty member teaches in two departments or schools, the department chairs or school directors, or both, decide how many courses or lab sections to evaluate and which courses or lab sections are evaluated.
In the fifth year of full-time teaching, and every fifth year thereafter, each non-tenured faculty member is evaluated in every course or lab section in each semester of that year.
Tenured faculty members are evaluated in one course or lab section each year, with the course or lab section evaluated selected by their department chair or graduate program director. If the tenured faculty member is a department chair or graduate program director, the course or lab section evaluated is selected by the College Dean. Every fifth year after tenure, the tenured faculty member is evaluated in every course in one semester. The semester of evaluation is selected by the College Dean.
A summary of results of each course evaluation is provided electronically to the instructor, the department chairperson, the College Dean, and the Provost for placement in the permanent file. Directors of programs may have access to the evaluations of those they supervise through their department chair. The process for presenting and collecting student evaluation forms maintains student anonymity (e.g., handwritten evaluations do not have to be signed by students). Faculty are free to seek additional student feedback and evaluation with a separate evaluation process.
Additional student evaluations can be initiated at any time by the College Dean.
For others in less than full-time teaching positions, department chairs and graduate program directors determine which courses are evaluated and how frequently they will be evaluated.
The grading deadline for every class is typically 5 business days after the session's* "CLASS END date. This is an important deadline that has ramifications for student standing and financial aid. Please make every effort to meet this deadline. (Note - Class End dates are always a Friday, but the Registrar's Office allows grading to be submitted by 5pm that Sunday if the extra time is needed.)
Note - if you are using Canvas and have been grading there, you still need to post your final semester grades in your MyGeorgefox account as instructed in the link above. *Session dates may be different than your class meeting dates and can be found at https://class.georgefox.edu and are labeled as "Class Start" and "Class End".

About Incomplete (I) Grades
If a student has applied for, and been granted an Incomplete (I) grade (see University Grading Policy here) please make sure the student has a way to contact you other than your GFU email to submit their final work. GFU adjunct email addresses may become inactive a few weeks after the end of the term. When you are ready to submit the grade, submit a grade change by completing the Grade Change Form in your MyGeorgeFox account. Instructions can be found here and questions can be directed to Kirby Killen in the Registrar's Office (kkillen@georgefox.edu)
Late Work
If you have granted a student an extension to submit work without an official Incomplete Grade Request, you may not wait on the late work to submit the grades for your class. Enter all your grades providing a grade for the student with the extension they would receive if the work was not submitted. When the late work has been received and graded, submit a grade change request.
Please remember that late grade submission can affect a student's academic standing and financial aid. Please make every effort to meet the deadline provided.

GSC Grading Scale
Student grades are not rounded up.
93 -100 = A
90 - 92 = A-
87 - 89 = B+
83 - 86 = B (A student must receive a B or above to pass a course.)
80 - 82 = B-
77 - 79 = C+
73 - 76 = C
70 - 72 = C-
60 - 69 = D
59 and below = F
We are required to keep records of course grades for 5 years.
Adjunct instructors are asked to download their Canvas grade book of assignments (presentations/quizzes/tests/papers/etc.) and final grades at the end of each semester. Please send it as a CSV or Excel file to jfreitag@georgefox.edu using your GFU email account. Please do not use your personal email account as it is not considered secure or FERPA compliant.
Resident faculty should maintain their own assignment and final grade files for a minimum of five years.
If you did not use Canvas, please provide an Excel spreadsheet or other document with your assignment and final grades.
Save grade files by course, naming them as follows: COURSECODECourseNumberSection,CourseTitle,ProfessorLastName.csv
example: GCEP501P2,PrinciplesandTechniquesofCounseling,Doe.csv
Send the Excel spreadsheet to mboylan@georgefox.edu using your GFU email address.
The CMHC, MCFC, and School Counseling programs are CACREP accredited which requires annual reporting of assessment data points.
Your course may contain an assignment that is a key assessment data point that needs to be reported to the GSC Grad Assistant at the end of each semester.
In the weeks prior to the end of the semester you will receive an email with instructions and a template to complete from gscgradasst@georgefox.edu if your course contains an assessment data point.
