Appointment Campaigns

Using the Appointment Campaign feature enables you to send an invitation to a group of students to schedule an appointment with you within a timeframe that aligns with your Availability. Availability must be created before you can launch an Appointment Campaign. An Appointment Campaign can save you time in managing multiple calendars/appointments and allow you to easily identify those students who have not yet scheduled an appointment you have requested. Multiple employees can be added to one Appointment Campaign to increase overall availability with students (if it doesn't matter with which employee the student schedules).

Launching an Appointment Campaign

  1. Login to Navigate (bradley.edu/navigate) using your BU Net ID and password.

  2. Make sure the top of your page reads Staff Home. If it says Professor Home, simply click on that text and select Staff Home to load your Staff Home page.

  3. Click Appointment Campaigns in the Quick Links menu on the right. Then, click Appointment Campaign under Actions.

  4. Click the + Add New box to create a new Appointment Campaign.

  5. Set the criteria for your Appointment Campaign. The reason/location/date range must align with Campaign Availability for the employee(s) that are going to be included in the campaign. When you are finished defining Campaign criteria, click Next.

    • Campaign Name is visible to you and other users who can view campaigns in Navigate. It will also display on students’ Appointment Report Form (even if you don’t write one). Please click here to view the Campaign Naming Policy.

    • Appointment Limit refers to the maximum number of appointments any one student can schedule within this campaign.

    • Slots Per Time refers to the number of students you want to permit to sign up within the same time block. If you only do one-on-one appointments, this is “1.”

    • Instructions or Notes for Landing Page refers to the optional text you can add at the top of the scheduling page students see.
      EXAMPLE: Select an appointment time before your scheduled registration time. Be sure to confirm your booking on the next page. You will receive a confirmation email. If you do not receive this email, your appointment has not been made.

  6. Add students to your Campaign using Advanced Search. For help, see the Advanced Search Guide.

  7. Select appropriate employees for the campaign (NOTE: advisors will typically only add themselves as the Staff for an advising campaign). You may also have the option to select additional staff to make them available for appointments based on the campaign. Click Next.

  8. Add Nudges. You will be prompted (and required) to create at least one Nudge. The first Nudge is the email students receive once you have completed your Appointment Campaign. Any subsequent Nudges are scheduled reminder emails to students who have not scheduled their requested appointment yet, as of the time of the scheduled Nudge.

  9. Add a Success Message. A Success Message can be created to provide additional information to students after booking their appointment, including what to bring, how to prepare, or tasks to complete before they appointment. Whether or not you setup a Success Message, students will still automatically receive a confirmation email after booking the appointment. Confirmation emails (like Recipient Reminder emails, if selected on the Define Campaign screen) contain the date, time, and any Special Instructions and/or URLs/Phone Number in your Availability.

  10. Confirm & Send. You can always add more students later and only send the invitation email to the new students added to the campaign.
