Generative Artificial Intelligence, when used effectively, can be a powerful tool that can support a variety of the work done by employees. CSW is committed to developing employees’ understanding of the effective and ethical uses of this technology. However, it is important to note that this tool should not replace or diminish employees’ accountability for the meaningful work we do in building relationships and helping our students grow. When using generative AI platforms, employees must critically evaluate both what they put into the models and its output to ensure they are not sharing personal or sensitive school data or spreading biases that these models can generate. Specifically, employees are prohibited from entering confidential or proprietary business information, personal privacy information about employees, students, or families, or personally identifiable information about employees, students, or families into any AI tools. CSW recognizes that some employees are already using AI appropriately and with permission. Please consult with the appropriate senior administrator (Associate Head of School for Advancement, Assistant Head of School for Academics, Assistant Head of School for Student Life, or the Chief Financial Officer) if you have questions about using a generative AI tool for your work or for work that will be done by your students.
You should not enter data classified as sensitive or confidential–not limited to: student or family information, financial information, non-public institutional research data, human resources, student records, family records, or medical information into publically-available generative AI Tools. Information shared to publically-available LLMs is not private and could expose proprietary and sensitive information to unauthorized parties.
Staff department heads may approve the use of generative AI in accordance with their work but the tools must have been assessed and approved for use and follow the strict privacy concerns listed above.

There are a number of tools under the Google Apps genAI Umbrella. Please familiarize yourself with each of them, however, it's important to note we are only using the standalone Gemini App at this time. Occasionally, Gemini may ask you to turn on Google Workspace. We cannot turn this on; simply tell Gemini no and it will work without the product (it's trying to 'upsell' you during the interaction).
