Print, Copy, Scan, Fax

  • If the Copier Jams or you have any other mechanical issues with the machine, please contact your building Secretary - they will get in touch with Capital Business Systems.

  • If you have trouble with Copy Codes or other network issues, please put in a Helpdesk ticket so the Tech Dept. can help you.

  • If you have questions about the new copier features and functions, please contact your building secretary. If they don't know the answer - Capital is very willing to provide additional training and answer any questions you may have about operating the copiers

  • Each quarter copy/print costs will be charged to your budget code.

    • B/W is $.016 per image. Color is $.05 per image

Sign into the Copier/Printer with Papercut

  • All BPS Staff will be given an ID Badge/copy/print code.

  • You will need to swipe the badge or input this code to make copies and to retrieve documents you have sent to print.

  • If you have problems with the copier/scanner, please contact your building secretary.

Print:

Follow-Me Printing

  • To send a print job, you will need to be logged into a computer on the BPS network.

      • Be sure you are on the BPS-WIFI (secured wireless network)

  • Follow-me printing. You don't send your print job to a specific copier. You send it to the "cloud" and then retrieve it anywhere in the district you happen to be - just go to the nearest copier, enter your usual ID and print your job.

  • When sending a print job select select your printer:

          • FollowMe_BW - MOBILITY for black & white jobs

          • FollowMe_Color - MOBILITY for color jobs.

              • Note - you may need to choose see more to access the Mobility Printers.

      • This does not apply to printers, only copiers

      • A color job has to be retrieved at a color capable copier but a black and white job can be printed at any copier.

  • IF you are assigned to other "Accounts" a Papercut box will pop up and ask what account you want the job charged to.

  • To access your print jobs from the Copier/Printer, enter your Print/copy code on the Papercut screen.

  • Select Print Release Button

    • Select the jobs you want to release

    • If you want all of them to print, hit select all.

  • Your jobs should be there for you to see and release as you wish. Select the job(s) and hit Print

  • If you printed something in error, you can always delete the job from here by selecting the job and choosing the trash can.

  • NOTE - Jobs sent to a stand alone printer will automatically print out. Be aware that if the copier is shared, your print job will be there for anyone to pick up.

If you can not see your FollowMe Printers:

  1. Check your Wireless Connection

    • Should should be on BPS-WIFI

    • Printing does not work if connected to Guest

  2. Sometimes Printers will lose their connection.

Copy

  • Swipe your badge or enter your copy/print code on the Copier (Papercut) log in screen.

  • Select the Access Device Button

  • Select Copy from the Home Screen

  • Set your original on the glass or in the auto feed.

  • Make your selections for quantity, paper source, size, etc. on the touch screen of the copier.

  • Hit the Green Start Button on the Keypad.


















Notes:

  • Change Defaults on a printer - such as 1 or 2 sided - Click HERE


Scan:

  • Swipe badge or enter your Copy/Print Code

  • Select the Scan Button

  • Select Scan to My Email (you can also scan directly to your Google Drive Folder)

  • You do not have to enter your email address, it already knows who you are by your Papercut Login.

  • The Scanned document will be sent to your email.

  • Even if you can not print in color - you can still scan in color from a color printer!

Send Fax

Fax from your computer/email - using GoldFax

On the Copier:

Scan the documents to be faxed to your Google Account

Forward the Scanned document as an email to:


the-FAX-number@egoldfax.com

i.e. 4022231509@egoldfax.com


One advantage to sending from a computer is the confirmation receipt is emailed directly back to the person who sent the FAX.


OR Scan from the Copier:

  • Scan Badge or enter your Copy/Print Code

  • Choose Access Device Button

  • Select Fax Server

  • Enter the Fax Number on the KEYPAD

  • Select OK

Receive a Fax:

  • An email including the fax will be sent to a designated person in your building.

  • That person will forward to fax to your email account.


If the Fax quits working:

  • Go the The Fax gmail account

  • Go to Manage your Google Account (click on your user icon in the upper right)

  • Go to Security

  • Find Less secure app access - turn it on.


Fax from your Computer:

PaperCut

Papercut is a program on your computer that allows you to print and keep track of print jobs and cost of printing.

On the lower right of your Windows desktop (System Tray) you will see an Icon for PaperCut

(it looks like a piece of paper with a Green P)

Double click on the PaperCut icon.

Click on Details

Log in with your NETWORK Username and Password

You will now see Print History, etc.

Click a link on the index on the left to look at all kinds of information!!
