Data Permissions for Mentor Portal

In this section we define the data access rules for the Mentor Portal to enable Mentors to view and approve attendance data. 

1. Object Permissions for Mentor Profile

      Give the Mentor Profile access to the required standard and custom objects. 

1. Go to Profile Overview

2. Click on Object Settings link

3. Click on Internships

4. Click Edit

5. Go to Object Permissions section

6. Check Read Checkbox.

7. Click Save

Repeat steps 1-7 for below objects

• Internships Requests 

• Internships Schedule 

• Time Logs (After giving the Read access in steps 1 to 6, Give the Edit access to these fields in Time Logs -imblaze__IsShare_Comments__c, imblaze__Mentor_Comments__c )

• Accounts

• Contacts

• System Exception Log 

• Survey Answers

• Survey Questions

• Internship CTE

• Internship Opportunity Types

• School CTE 

• School Opportunity Types

• School Internship

• Global Internship

• School Library Request

• Holiday

2. Provide Read Field Level Security for all fields for below Objects:

1. Click on Object Settings

2. Click on Accounts

3. Click Edit.

4. Go to Field Permissions

5. Check Read checkbox for all fields with imblaze prefix

6. Click Save

7. Repeat steps 1-6  for the below objects -

• Contacts

• Time Log

• Internship

• Internship Request

• Internship Schedule

• Notification

• Survey Question

• Survey Answers

• Internship CTE

• Internship Opportunity Types

• School CTE 

• School Opportunity Types

• School Internship

• Global Internship

• School Library Request

• Holiday

Add Read access to  below Contacts fields also

• Title

• Phone

• Email

• ImBlaze User

3. Create Sharing Rules for Mentors.

    In this step, we create sharing rules for mentors to have read access to ImBlaze contact records and access to Mentor Verification Custom Questions. 

1. Go to Setup 

2. Search Sharing Settings in Quick Find box

3. Click on Sharing Settings

4.  Go to corresponding Sharing Rules section, then add following sharing rules- 

a. New Contact Sharing Rule:

• Label: Give a name, e.g.  ImBlaze Mentor Rule, then tab through to populate the rule name

• Rule Type: Guest user access, based on criteria

• Criteria: ImBlaze Contact Type EQUAL TO "Mentor, Student, Advisor, Intern Coordinator"

• Share With:  Select Mentor Site guest profile

• Contact Access: Read Only

b. Internship Sharing Rule:

• Label: Give a name, e.g.  ImBlaze Mentor Internships, then tab through to populate the rule name

• Rule Type : Guest user access, based on criteria

• Criteria : Internship Name NOT EQUALS TO ""

• Enable the additional option : Include records owned by high volume users.

• Share With:  Select Mentor Site guest profile.

c. New Survey Question Sharing Rule:

• Label: Give a name, e.g. ImBlaze Mentor Questions, then tab through to populate the rule name

• Rule Type : Guest user access, based on criteria

• Criteria : Internship Step EQUAL TO "Mentor Verification"

• Share With:  Select Mentor Site guest profile

• Check Include records owned by high-volume users
