Please note that 3 unexcused absences in a semester will lead to disciplinary action, which may include termination from your position.
Calling in Sick (CIS):
You must call into your unit* and send a CIS email at least 2 hours in advance of your shift.
If no one answers leave a clear message with your name, phone number, and shift time.
Send a follow-up email to SS (diningstudentsupervisors@berkeley.edu). In this email, make sure to CC your unit manager and leads (diningstudentleads@berkeley.edu), to notify them of your CIS.
***Both the call-in and follow-up email must be done two hours prior to your shift's start time.***
We will request a doctor's note:
if you CIS 3 days in a row or more.
if you are experiencing vomiting and/or diarrhea (note is required to return to work).

Requesting Time-Off:
Request time-off at least 2 weeks in advance by sending an email to SS and CCing your unit managers, specifying that you would like to request time-off. Please also include your availability for make-up shifts. We will NOT move forward with the request until we get your availability.
If you have not heard back, please reach out to the Supervisors again. It is your responsibility to actively seek approval for your time-off requests.
If request is approved by SS, you will still need to post your shift on trade board as a trade/drop, drop only, etc.
**It is your responsibility to actively seek out a substitute to cover your shift.**
If after a week no one has picked up your shift, send a follow-up email to SS so that they can post an open shift onto the trade board.
Key Reminders:
All shift change requests must be sent to SS to undergo the formal process. Informal/casual requests or arrangements for shift changes from in-unit staff can not be approved.
If you request time-off for more than 3 days off, a manager's approval is necessary because it is considered personal leave of absence.
If you are going to be tardy to a shift, it is your responsibility to contact your unit at least 2 hours in advance (or as soon as possible) stating your name, phone number, shift time, and when you expect to arrive.
CATERING ONLY: An On Call shift is based on a flexible work schedule that allows employees to be called to work outside of their regular hours. Typically, you are given day of or earlier notice for these shifts.
*Please note, excessive amount of Call-Ins will lead to disciplinary action and will be taken into consideration for all promotional opportunities.* If ADA/medical accommodations are needed, please explicitly communicate with the Student Supervisors (SS) to provide you with support.
Do you always get confused about how much time you should be given for your breaks? Not anymore.
CalTime is a great timekeeping software, but make sure that you are double checking your timecard at the end of each pay period. Your manager will notify you if you have a missed punch because it shows up in red and is an instant alert. Be sure that you are clocking out for your lunches (30-mins break). You are required to take a 30 min lunch, off the clock, for shifts of 5 hours or more. IF YOU WORK 6 OR MORE HOURS AND FORGET TO CLOCK OUT, CALTIME WILL AUTOMATICALLY DEDUCT 1 HOUR FROM YOUR TIME FOR THAT DAY. To avoid this, be sure that you are clocking out for your lunch if you are working 5+. Speak with your manager right away if you notice this or any other time/pay issues.
After returning from your break, please check in with your shift Student/Career Lead and Manager On Duty (MOD) to see your next task.
While being a student should be your priority, as a student worker you are expected to show up to every assigned shift on time unless your absence or tardy was previously communicated in a timely manner. Please see below for more details on how to communicate an absence or tardy in a timely manner.
At 11:59pm on the last Saturday of the pay period, every employee is expected to review and approve their timecard to ensure that they are paid for every hour they work. Please see the step by step flyer below on how to review and approve your timecard. (*If there is an error on your timecard do not approve your timecard and click the link below for further instructions.)
No headphones/earphones/headsets are allowed while on shift for safety and sanitation purposes. If you're found with these devices we will ask you to leave them in the office at the beginning of your shift.
You may not use your phone during your shift unless you're on break. Time on the clock should be time worked, and more importantly, phones harbor bacteria which could cause illness if transferred to food or surfaces (check out this video, Your Phone is Dirtier Than These 5 Objects.) If you ever touch your phone, you must wash your hands and change your gloves afterward. If you're caught using your phone when it is not permitted, you will have to leave it at the office until the end of your shift. Charging phones in food service areas is not permitted.
If you are expecting an emergency call, inform your manager ahead of time. Please make sure that you give the main office phone number to close friends and family for in case of an emergency.
Berkeley Dining Hat:
Berkeley Dining-issued hat and hairnet must be worn if your hair is longer than shoulder length. Additionally, longer hair should be tied and tucked neatly into the hat.
Berkeley Dining Shirt:
A clean Berkeley Dining shirt in good condition. Shirts must be tucked in.
Pants:
Full-length blue, black, khaki, dark gray jean/sturdy material pants. No sweatpants, leggings, etc. They cannot have any holes or distressed rips. This is for your safety amid bustling kitchen environments.
Shoe Covers:
Non-slip shoe covers must be worn on top of your regular closed-toed shoes at all times. We recommend wearing comfortable shoes as you will be on your feet for most of the shift. Make sure your shoe covers fit well for your safety.
Loose jewelry and nail polish/artificial nails are potential contamination sources. For food safety reasons, they are not permitted at work.
Remove jewelry from hands and arms before working around prep areas.
Unacceptable jewelry includes, but is not limited to: hoop earrings, any facial jewelry and other items which might accidentally fall into food or could possibly harbor bacteria. Necklaces may be worn if tucked completely into uniform. Watches must be covered by one's work gloves.
When you first start working it is possible that your Cal 1 Card will still not work in our system, so you will have to fill out a paper time card. Once your Cal 1 Card works with the system you may stop using the paper time card. Please do not do both for the same shift.
On the paper time card you will write when you came in for your shift, when you left for your shift, and you will have to ask the manager on duty to initial it for you next to each shift entry. If you lose your Cal 1 Card please follow these same steps.
Do not take the paper time card home with you- ask your manager where the designated place for the paper time cards is.
When checking your punches/approving your time card on the CalTime website, please DO NOT press on the "Record Timestamp" button. This will accidentally punch you in/out.
If you accidentally press it please notify your manager to remove the punch from your time card. Improper use of the "Record Timestamp" button without informing your manager will result in disciplinary action.
