Compliance Review

When compliance review documentation must be submitted, a charter holder will receive notification from Board staff. This notification will provide a minimum of two weeks to gather and submit documentation.

Charter Holders have two options to submit required documentation to ASBCS.

  1. Through Google Drive (preferred). A Google Drive folder for submission of documents has been shared with the Charter Representative and can be shared with any additional school staff as needed. The Charter Holder must use the Google Drive provided by Board staff, not provide a link to the Charter Holder's own Google Drive or other shared drive.

  2. Mail or hand deliver a flash drive with all required documents to ASBCS (must be received by the due date identified in the notification).

For either method of document submission, the Charter Holder should ensure that documents are in clearly labeled folders as follows:

Compliance Documentation

    1. "Board Meetings"

      • Governing Body agendas for the last 12 months

      • Governing Body minutes for the last 12 months

      • Evidence of posting the required notice required by Arizona's Open Meeting Law

    2. "Staff Information"

      • Complete list of all individuals on the charter holder/school's payroll. This includes:

        1. Instructional staff (classroom teachers, instructional aides, special area teachers, etc.)

        2. Non-instructional staff (lunch staff, recess staff, maintenance staff, etc.)

        3. Contractors (special education contractors, school psychologists, etc.)

Ensure that this list indicates the title/role of each individual and which of the above categories each individual is part of.

      • In the "Fingerprint Cards and Background Checks Folder," either:

        1. Upload all Fingerprint Clearance Cards or Background Checks (as appropriate) for all staff members and contractors; OR

        2. Complete the Fingerprint Documentation Template contained in the folder.

    1. "Enrollment"

      • Student/Family handbook

      • Enrollment packet (include a PDF of the online form if enrollment is online)

      • Attendance policy (if separate from handbook)

      • Discipline policy (if separate from handbook)

    2. "Calendar and Schedules"

      • Current School Calendar indicating days in school, days off of school, and any early release or half days

      • Daily Instructional and Bell Schedules for all classes (schedules must indicate specific time periods for subject areas, as well as breaks, recess, and lunch)

5. "Occupancy Documentation"

      • Current, Valid Certificate of Occupancy for all campus buildings, demonstrating E occupancy

      • The most current Fire Marshal's inspection report. The report must demonstrate that:

        1. It was issued within the last three years

        2. The facility was inspected for E occupancy, and

        3. It is from the State Fire Marshal or an entity on the State Fire Marshal’s current LOA list.
