iOS Devices

To sync Google Apps such as Gmail, Calendar, or Contacts with your iOS device (iPhone, iPad, or other iOS devices) you need to set up Google Sync on each of the devices individually. Be sure to do the Before You Begin steps to ensure that data is backed up before you sync.

Before you begin

1. Sync iTunes to be sure that your current contacts and calendars on the iOS devices are backed up to your computer

2. Check the cookies settings in Safari to see if it is set to From Visited or Always. If it's set to Never, you're more likely to be prompted to solve a CAPTCHA

3. Set the language on your device to English (US) to allow access to the m.google.com server

Getting Started with Google Sync

1. Open the Settings application on your device's home screen.

2. Open Mail, Contacts, Calendars

3. Select Add Account

4. Select Exchange

2. Enter the full Google Apps email address and password, then touch Next. Locate the Server field and enter m.google.com

2. Leave the Domain field blank

3. In the Username field, enter the full Google Apps email address

4. The password should already be in the Password field. If not, enter it again and touch Next

6. - If you see an error message saying "invalid password", you may need to unlock your account by solving a short CAPTCHA challenge-response test. Go to https://www.google.com/accounts/UnlockCaptcha to allow access

7. - If you are a 2-Step Verification user, you need to set up an Application-Specific Password instead of a regular password in this field. Go to https://security.google.com/settings/security/permissions to set up your Application-Specific Password first

8. Select the Google services (Mail, Calendar, and Contacts) you want to sync. To receive and respond to meeting requests on your device, both Mail and Calendar need to be turned on, and New events needs to be enabled in your Google Calendar settings

9. To enable 'New events', sign in to your Google Calendar using the web browser on your phone or computer. Go to Calendar Settings > Calendars > Click on theNotifications for the calendar you want to sync. Under Email check 'New events' (and any of the other Invitation settings you want enabled e.g. changed events, cancelled events, event responses), and click Save

10. There are three options for keeping your contacts synced. You can keep your device's contacts and sync just your My Contacts group, you can sync only Google Contacts and wipe your device's contacts, or you can merge your contacts via iTunes and sync only the contacts that stream with your phone

11. - If you would like to keep your existing contacts on your device select the Keep on my iPhone (or iPad or iPod touch) option when prompted. This will also allow you to keep syncing with your computer via iTunes. If you choose to keep existing contacts, you will sync the contents of the My Contacts group

12. - If you have all your contacts in Google and you want to start syncing them to your device and don't want to keep the contacts on your phone, tap Delete Existing Contacts. If there are no contacts on your phone, the contents of your All Contacts group will be synced

13. - If you have all your contacts on your device and want to import them into Google, you can synchronize your Google Contacts with iTunes. All Contacts and Calendars that you sync with iTunes will be put into the On My iPhone Contacts and Calendar groups on your phone. iOS currently doesn't allow you to move Contacts or Calendar events from the On My iPhone groups to the Google Sync groups

Additional Steps to Complete (if applicable)

To enable New Calendar Events on an iOS device:

1. Sign in to Google Calendar using the web browser on your iOS device

2. Go to Calendar Settings > Calendars

3. Click Notifications for the calendar you want to sync

4. Under Email, check the New events box (and any additional notification settings you want enabled), and click Save.

To enable the Send Mail As feature:

1. Sign in to Gmail using your web browser on your iOS device

2. On the Account tab, touch Add another email address you own

3. Enter the alternate email address. If you want this address to be the default, uncheck the Treat as an alias box.

4. Touch Next Step

5. Touch Send Verification. Gmail will then send a verification message to your other email address to confirm that you are the owner of that email address.

6. Verify the address by clicking on the link in the verification message and enter the confirmation code in the Accounts section of your Gmail settings.

7. To send mail with the custom address from the iOS mail app, open the browser on your iOS device and go to http://m.google.com/sync/settings

8. Select your device and check the Enable "Send Mail As" for this device box

10. - Your iOS mail app may still indicate that you're sending mail from your primary account and not the new address. However, when the recipient receives the email, the from address should appear as the new address that you set up in Send Mail As. You can send a test email from the device to make sure the email address appears how you want it to.

You've set up Google Sync! Synchronization will begin automatically if you have Push enabled on your device. You can also open the Mail, Calendar, or Contacts app and wait a few seconds to start a sync. Note that if you've recently signed up for Google Apps for Business, Education, or Government, it can take a few hours (up to 24) before you're able to sync with your mobile device.
