Undergraduate Hourly
NYU strives to pay all students on time. It is best practice and the directive of NYU for all students to have access to PeopleSync/Workday for their first day of work.
Students may work for up to 20 hours per week during the semester and up to 35 hours per week during the summer, across all of their jobs (not per job)
Hourly positions may be appointed as non-work study or work study.
As of August 1, 2023, students must visit the Wasserman Center in-person to complete their I-9 verifications
Effective January 1, 2024, the minimum hourly rate is $16 per hour
January 1, 2024: $16 per hour
January 1, 2025: $16.50 per hour
January 1, 2026: $17.00 per hour
NYU's On-Campus Employment Policies (NYC Pay Transparency Legislation, Sick leave, Time Off, etc)
All jobs should be posted in Handshake and comply with the NYC Pay Transparency Law, indicating the minimum and maximum hourly wage for the position. Postings should also indicate whether job responsibilities will be conducted remotely or on site. However, if a student employee is returning to a previously-held position in your department, then the job is not required to be posted

As you make hiring decisions, please ensure that the Department keeps all hiring within its respective budget and there is adequate work to necessitate the hiring

Best Practices
Indicate the timesheet approver on the PDF paperwork. If the approver is a new supervisor, employee or professor, please obtain confirmation from A&S HR (fas.hr@nyu.edu) that the employee is eligible to be a timesheet approver prior to submitting paperwork
Future dated hourly jobs will not appear until the effective date of the appointment. If needed, please reach out to confirm the appointment, but do not submit duplicate paperwork without confirming first

Submit a Payroll Change Request (PCR) via our Google Form
You may also use an Additional Compensation form in lieu of a PCR. Please write "Payroll Change Request" in bold letters on top
Undergraduate Tutors (Flat Rate)
Flat rate tutors are not eligible for work-study. The calculated hourly rate still has to be at least $16/hour. A Wasserman form demonstrating both work eligibility and current enrollment is still required. The Additional Appointment Form would indicate the total compensation amount, the start and end dates of the appointment and the projected hours per week (therefore demonstrating that the minimum hourly rate of $16/hr is met). The account code is 51111.
Timesheet approvals & General Information
As a general rule of thumb during the semester, please submit all student hourly paperwork at least 7-10 business days before the start of the appointment to allow sufficient time for processing.
All hourly paid student employees must enter hours worked in PeopleSync at the conclusion of each week. Timesheets require supervisor’s approval according to the bi-weekly pay schedule.
Bi-weekly timesheets must be approved by Monday at 5:00pm following the pay period end date. It is imperative that timesheets are approved by this deadline, as the timeline for processing bi-weekly payroll has shortened. Additionally, PeopleLink has implemented more stringent guidelines regarding circumstances in which off-cycle checks may be requested. If we are unable to request an off-cycle check, the employee would have to wait an additional two weeks to receive their paycheck. Please make every effort to ensure all hourly paid graduate student employees are paid on time.
Timesheets for Federal Work Study (FWS) students must be approved in order for them to be accurately charged to a department’s approved Federal Work Study Budget. If a FWS timesheet is not approved, it will be automatically charged to non-federal work study accounts.
If you will be out of the office on a pay period approval date and are unable to install and run VPN (Virtual Private Network) security software to approve remotely, please delegate your employees to another manager or supervisor in your department, so that they may approve the timesheets in your absence.
