Work Study Pilot - Provost Office
Introduction
The Provost Office has launched a new College Work Study (CWS) program. Work study is a valuable benefit and the Provost Office wants to encourage and facilitate hiring work study eligible students.
Faculty may utilize their faculty research or professional development funds to hire work study eligible students. Departmental work study budgets will NOT be required to support the appointments. A&S authorizes the swap of annual faculty research/ professional development budgets with federal work study (FWS) contingent on budget and fund balance availability.

Program Details
The faculty member will be responsible for student recruitment in consultation with the Provost Office
A&S Payroll will process the onboarding of the student into Workday, as submitted by the Provost Office
The Provost Office will submit the onboarding request into the Arts & Science Payroll Google Form, per the procedures outlined in the A&S Payroll Guide.
The Provost Office will communicate with the faculty member about the policy and procedures for work study and confirm the budget need (plus fringe) with the Provost Finance Office (PFA)
A&S authorizes the swap of annual faculty research/ professional development budgets with Federal Work-study (FWS) contingent on budget and fund balance availability
PFA will process the Budget Modification, converting research/ professional developmental funds for FWS for A&S approval
The Provost Office has agreed to swap research/professional developmental funds for FWS on a limited basis if A&S cannot do so
PFA will monitor the faculty member's budget to ensure they stay within budget
PFA will monitor the student's FWS balance and notify managers when the award runs low
The Provost's Office will cover the differential if the faculty member exceeds their planned budget for students who are part of this pilot
The Faculty member or their Administrative designee will approve the student's timesheet bi-weekly. Approving timesheets on time is very important. If not approved by the deadline, students are converted to casual, and the budget will be charged 100%, not 25%
