Online Calendar Integration
With the March 2020 GDS Update, we have included a new feature that allows you to export bookings from within the GDS bookings diary into either a Google Calendar, Outlook Calendar or Office 365 Calendar. Please note - It exports bookings out of GDS only. It cannot import them into GDS at this time.
This calendar synchronisation feature will be available to all customers who have a current Support and Maintenance agreement. There are no additional costs for this feature.
How to switch the Online Calendar Integration on
1. Use the menu to navigate to the GDS System Settings screen. Choose GDS>Configuration Settings>GDS System Settings. See Screenshot below for more details.
2. From here you will go to the Booking Diary/Calendar tab. There are some Online Calendar Options at the bottom of this tab. See screenshot below.
3. Tick the Enable Online Calendar Integration box, select your calendar provider from the providers listed, then click the Authenticate button.
For Google Calendar Users
4A. It should take you to the Google email login page. Login with your email address and password and go through the 2 Factor Authentication if you have it set up.
4B. Once you have logged into your Google Email, a page should come up asking you to click Allow, this will let GDS access your account and create the bookings in your Google Calendar.
For Microsoft Outlook/Office 365 users
4C. It should take you to the Microsoft email login page. Login with your email address and password and go through the 2 Factor Authentication if you have it set up.
4D. Once you have logged into your Microsoft Email, a page should come up asking you to click Yes or no, if you click Yes this will let GDS access your account and create the bookings in your Microsoft Calendar.
5. Once you have clicked Allow or Yes, a page will appear from GDS on the browser advising that it has all been authenticated. You can close this page and go back into the GDS Program.
6. GDS should now have access to your online calendar to be able to create bookings taken from your bookings diary in GDS. Now you need to choose which calendar you would like them to appear in, either into an existing calendar you have, or you can create a new one through GDS, then edit access in your calendar through your Google or Microsoft account.
7. The last thing you need to do on this page is tick Synchronise Bookings and Synchronise Staff Holidays if you use the staff holidays in the booking diary in GDS. Once these are ticked or not you just need to click on the save button and the bookings will start to sync from GDS into your chosen calendar.
