Security is a primary concern for our program, our sites, our clients and ourselves. During recent tax seasons there have been computer attacks directed at both individual taxpayers and tax preparers. Hacking tools and the instructions for their use are now widely available on the internet.
Because of these threats and their potential impact on our clients and on the program as a whole, there are strict program, counselor and site policies which must be followed. You will be agreeing to those policies when you complete and sign the Volunteer Agreement to join our program.
Only the Tax-Aide-provided Chromebooks will be allowed for use in the Tax-Aide program. Personal computers will not be allowed access to the live production site. Personal computers will still be able to access the Practice Lab.
When you log into the Chrome laptop, you will be logging into the Google Cloud. The laptop will have no data on it and it will be your gateway to the cloud.
There will be many pre-loaded links available to you for access to publications, tools and tax related websites.
See the Chromebooks page for more information.
Tax-Aide secured networks and computers are to be used ONLY for tax preparation.
Tax-Aide secured computers may be used only to access tax-related sites, limited to the following:
TaxSlayer
AARP tax-related sites, including this D5 Tax-Aide website and sites linked to from it,
IRS.gov
Individual state tax sites
Returns for family and friends may still be done, including out-of-scope returns. All returns must be completed and QR'd on Tax-Aide Chromebooks and approved networks. See Family and Friends page for further information.
The Production version of TaxSlayer will again require multi-factor authentication, sending you a code to enter before allowing you to complete logging in to TaxSlayer. We strongly suggest that you bring your smart phone, if you have one, and have it set up to receive emails or texts so that you can get your authentication codes efficiently.
Other methods of retrieving the code will be provided, if necessary.
To the extent possible, workstations should be situated so that one taxpayer cannot see the screen for another taxpayer. If a tax counselor must leave a workstation, it should be locked (Windows key or CTRL-L) to protect taxpayer data.
Unsecured computers and other devices (e.g. cell phones) may not be attached to Tax-Aide secured networks. Do not attach taxpayer USB drives to a computer.
