Report to: Regional President, Asia
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Regional President’s working life and communication.
· Personal Assistant to Asia Regional Management Team (Japanese native President & General Manager)
· Assist in translating, drafting and handling reports required by management team
· Assist in translating in meetings and minutes of meeting
· Scheduling (attendance) management of expatriate team
· Housing management (rental & maintenance) for expatriate team
· Annual Health Screening arrangements for expatriate team
· Membership management for Japanese Association Club
· Air-tickets and Hotel booking requests
· Rental vehicle scheduling and management
· Manage outsourced cleaning services for office maintenance
· Manage general admin matters – stationary / refreshment, etc.
· Handling of incoming visitors
· Diploma or degree holder
· Proven work experience as a personal assistant
· Knowledge of office management systems and procedures
· Japanese language proficiency JLPT N1 or N2 certified
· MS Office and English proficiency
· Outstanding organisational and time management skills
· Ability to multitask and prioritize daily workload
· Excellent verbal and written communications skills
· Discretion and confidentiality
