Notes:
You should never change the title of the web page without consulting a member of the web team. This will change the url and break any links on the website.
Steps:
1. View an existing content item:
Locate the page that you would like to view.
You can view the content in 'View' mode which allows you to preview the page content.
Click on the title of it and it'll pull up the initial status screen of the web page.
Notes:
The 'View' option allows you to view the content before you choose to edit and begin making changes.
If you choose 'Edit' but do not want to edit that page, do not use the back button or the < button.
You will need to choose 'Undo Checkout' or 'Checkin' to unlock the item.
2. Exploring the Editor Toolbar in 'View'
The View Toolbar:
The following icons on the View toolbar provide the capabilities described below.
The View toolbars may vary depending on the rights and permissions of each individual editor. You may or may not see all of these icons.
Back - Go back to the previous screen (you can use this button if you are on the 'view' screen. Do not use if you have clicked the 'edit' button.)
Edit - Open a content item for editing.
History - See the history of your editing changes. From here it is possible for marketing and communications to restore a previous version. This is useful if you have made a serious mistake and published. Please note, only the main content of the page is restored and the page will lose all metadata items. These items will need to re-added: the banner image, all CTAs and Related Links. Then publish it. Please contact Marketing and Communications for assistance.
Delete - Deleting content items or folders is not recommended.
Please contact Marketing and Communications for assistance with removing content from the website as most publishers do not have access to delete (this requires additional work on removing links and navigation throughout the website.)
To remove content from the website, we will actually unpublish pages. Unpublishing pages allows us access to access the old page and republish, if necessary. To Unpublish a page: 1) Click on content item 2) Choose Edit 3) Go to Schedule tab 4) Go to End Date and click the plus sign 5) Click the button Today 6) then publish
Link Search (Check Links) - This will allow you to see if other pages on the website link to this page. If you have access to delete, you must do a link check and remove the items on the other pages before you delete or unpublish a page. If you cannot update those links, contact Marketing and Communications for assistance.
Tasks - This item is not in use, but would allow you to communicate with someone about a content item.
Reports - This item is not in use.
Sync - Most publishers do not have access to sync content from the staging server to the production server. Department publishers will not have sync capability. The system syncs the whole website at 5pm each day. The system sync's the news items at 10am, 2pm, and 10pm each day. Contact Marketing and Communications if you need something to be synced earlier.

This toolbar allows a variety of tools under the Format, Insert and Review tabs.
The editor works well with text copied from MS Word documents or Outlook emails. Text can now be directly pasted into your page, and the editor will automatically remove conflicting formatting and the extraneous hidden “word code” that causes issues.
Images cannot be pasted in like text. You’ll have to upload them to the Library and then insert them into a page. Working with images is covered in Image Basics.
Standard formatting tools are available in the editor. Hover your mouse over the icons for tooltips, if you are unsure what a particular tool is for.
Per our style guide, please use the default font – and no others. Headings should be Heading 1 H1 size and sub-headings are Heading 2 H2, follwed in ordered succession H3, H4, H5, H6.
The Inspector tool, which is activated from the Review toolbar, allows you to format elements of your page. First click on an element to select it (for example, a header, a paragraph, a table, a bulleted or numbered list, or a table), then use the Inspector to add additional attributes, formatting or functionality.
Select the text you want to link, then from the Insert tab, select the library icon (first icon in the row: the book icon) and navigate within Ektron folder structure to the Quicklink for the web page or document you want to link to.
Use this code to add an anchor link: <a name="Links"></a>
Use the Format tab and enter the email address using “mailto:” in front of it. Example: mailto:John.Smith@sdsmt.edu.
Type or select the text to link, click on the Link icon under the Format tab, add the URL making sure it begins with http:// or https://, example: http://www.gorockers.com. Then to open this page in a new window, click on the linked text on the page, use the Inspector, make sure you are working on the A tag, and click the “Open in a new tab/window” box. Links to external websites should always open in a new tab or window.
When you work in the Library or navigate to it for items like images, Quicklinks, or Hyperlinks, be sure to change the dropdown list to show the type of item you are seeking:
Images, Quicklinks, Hyperlinks, Files, etc.
4. Edit an existing content item:
Click on the Edit button to edit a Content Item.
Locate the page that you would like to edit.
Click on the name of the content item.
Click the 'Edit' button in the top left corner

If you don't see the 'Edit' button that means it is not available to you for editing - it could be checked out or you may not have permissions to edit that item.
