OLGC Coffee & Donuts Hosting
To create a welcoming and enjoyable environment for parishioners, their guests, and other visitors of OLGC to further build community over a snack and beverage following the 8 am and 10 am masses.
To also provide an opportunity for parishioners to share the joy of Christ as an active member of our parish in a friendly, well-organized and efficient service.

Two Teams of Volunteers, at least 3 people on each team
Only 2.5 hours required for each volunteer, which includes 1 hour for mass (2.5 hours in total)
Team 1 needed from 7:00 am to 9:45 am
Team 2 needed from 9:45 am to 12:00 pm
Schedule of Events:

First team of volunteers arrive; begin set-up of serving area(see details on Serving Area).
7:10 - 7:45
New double coffee maker should always be on and ready to brew. Prepare both baskets with a filter and 8oz of coffee grounds. Make sure two pots are under each basket and are clean and emptied. Wait to brew until 7:30.
Get juice concentrate from freezer(4 cartons) and begin to thaw (see juice details)
Set out supplies in serving area (see details/photos of serving area layout)
Set out donuts, but keep covered in box (see details/photos of serving area layout)
Place cream cheese in the refrigerator until ready to serve

Begin brewing coffee by pressing one of the green “A”, “B”, “C” buttons above one of the pots. Digital screen will say “Brewing” with a timer on it. When the brewing is done and the screen switches to “dripping” then you can press one of the green “A”, “B”, “C” buttons on the next pot to begin water flow and to brew.
When the dripping is done on the first pot; empty basket, put lid on pot and set aside. Same with #2 when done.
Repeat point 1 and 2 again with more regular coffee and do ONE extra pot using decaf.
In total, you should have 4 pots of regular and 1 of decaf.
Set 3 regular pot and 1 decaf pot out on serving table for guests. Hold one regular back for 10:00am.

Serving Area Layout (Detail)
PLEASE SET UP ANY WAY YOU FEEL IS BEST....THIS IS JUST AN EXAMPLE THAT WORKS GREAT FOR “FLOW”.
Set out the serving tables like this: Cover with white plastic table cover found in storage room on top shelf above napkins.
2 to 3 tables across for serving drinks
2 rows of tables of two tables each for donuts/bagels. And one single table separate for bagels.
For the drink tables:
smallest plastic/wax cups are for orange juice(5oz) • larger plastic/wax cups are for water(9oz)
styrofoam cups are for coffee and tea
set out all the ‘fixins’ for coffee
...and serve with a smile, of course!
Setting Tables & Chairs
The tables and chairs should already be set up.
Coffee Machine Instructions
We now only use the new double coffee maker closest to the social hall doors.

Orange Juice Instructions
Thaw 4 containers of OJ by running the containers under hot water in the large sink or plug sink and set in hot water.
Dump OJ concentrate evenly into 3 - 5 gallon plastic/metal pitcher from storage room. Fill OJ concentrate carton 3 times with water each. Stir spoons or giant whisks are in the storage room also. Pour OJ into pitchers and put into the refrigerator until after Mass.
Clean Up
Dump grounds and filters into the garbage. Drain all left over coffee from pots. When drained and spigots are open, pour hot water into the pots and let them run out and cleaning all the coffee from inside the pot. The inserts and the bottom drip catch for each pot can get run through the dishwasher and then placed back together with each pot.
Dishwasher: There are simple instructions on how to turn on and use the dishwasher located on the wall to the right of the washer. Basically, make sure the door is in the down position by using the arm on the right side of the door, turn the washer on using the “on/off” switch at the top right of the machine. Then press the water button and hold for 10 seconds. An orange light will come on indicating that it’s running it’s cycle. When the cycle light goes off, lift the door with the arm and leave open until ready to use. DO NOT press any other buttons on the front of the machine! The soap and rinse is all set as it is. You can run the coffee pots, water and juice pitchers, bowls and bagel slicers through this washer! Please make sure to turn the “on/off” switch to the off position before leaving and wipe down the area.
Tables: All tables can be left as they are as long as the supplies are taken off and the table cloths have been thrown away.
Kitchen: Wipe down all counters and make sure all supplies have been put away properly.
Garbage: Cleaning crew will take care of all garbage.
Leftover Donuts: Options Include
Give away as many as possible, even to take home OR leave upstairs by exit for noon Mass
Also can condense into 1 box, put lid on and store in the walk in freezer.
MONEY/Donations: Empty the money from the baskets a couple of times throughout your shifts. Grab a gallon sized zip bag from the storage area, organize the money and put under the counter on the left side immediately after you enter the kitchen. 8:00am volunteers will then hand over the money to the 10:00am shift or at least let them know where it is. After the 10:00am mass shift is over, organize the money again and bring it to the “counting room” which is down the hall on the left before the day care room. If the door is locked, just hand the bag to an usher on your way out. Please let them know the money if from Coffee and Donuts.
