Passport Babes Domestic Travel Policy

(Applies to all U.S.-based and road-trip experiences)

1. Purpose

This policy explains how Passport Babes Domestic Experiences are organized, how payments and contracts work, and what travelers agree to when they join a hosted trip.

2. Intent to Travel & Contract of Intent

• Every traveler must complete a Participant Contract of Intent to confirm their place.

• Signing this document means you understand the trip details, agree to the terms below, and are committing to travel with the group.

• Once your contract is signed, your spot is secured.

3. Credit Card on File

• The card you provide will be kept securely on file.

• It will not be charged at the time of signing.

• The card may be used only for the following reasons:
  
  

  1. To process your $50 non-refundable Passport Babes Experience Fee once the group is confirmed.

  2. To cover hotel incidentals, room damage, or penalties if charged to the host card.

  3. To collect unpaid balances or late-cancellation fees as described in this policy.

4. Group Confirmation & Payments

• When all invited travelers have signed or declined their contracts, the group is considered confirmed.

• At that time, the $50 non-refundable Experience Fee will be processed from the card on file.

• A payment link will then be sent showing each traveler’s total balance (the $50 is credited toward it).

• Balances may be paid in full or through approved installments before the posted due date.

• Prices are based on the final confirmed group size; if someone withdraws, totals may adjust for remaining travelers.

5. Cancellations & Refunds

Traveler Cancellations

• Because signing the contract reserves hotel space and locks in group pricing, all signed travelers are financially committed.

• If you cancel at any time after signing, the $50 Experience Fee is non-refundable.

• Cancellations made 30 days or more before departure may receive a refund of any additional payments if a replacement traveler is found or if the trip can proceed without affecting pricing.

• Cancellations made within 15 days of departure are non-refundable and may result in the remaining balance being charged to your card if your withdrawal increases the group cost.

Group Cancellations

• If all confirmed travelers mutually agree to cancel the trip before the hotel’s refund deadline, all payments (except the $50 Experience Fee) will be refunded.

• If the host must cancel the trip for any reason, travelers will receive a full refund of all payments made, including the $50 Experience Fee.

6. Transfers & Replacements

• A canceling traveler may transfer their spot to another approved participant up to 10 days before departure at no extra charge.

• The replacement must complete their own Contract of Intent and payment within 24 hours of acceptance.

7. Travel Options

• Domestic trips may involve road travel (carpool, van, or charter) or air travel (guests may fly in from other states).

• Detailed driving directions or flight recommendations will be provided before departure.

• Each traveler is responsible for arriving on time to the designated meeting or check-in location.

8. Host Responsibilities

Passport Babes / Treygell Shields agrees to:

• Book and manage all confirmed accommodations.

• Provide verified itinerary details and timelines.

• Offer ongoing communication and a private group-chat space for updates.

• Deliver curated activities and a Passport Babes Welcome Bag for each traveler.

9. Traveler Responsibilities

Travelers agree to:

• Review all trip details before signing.

• Meet payment deadlines.

• Behave respectfully in shared accommodations and follow host instructions.

• Reimburse any costs caused by damage, missed payments, or policy violations.

10. Refund Processing

Approved refunds will be returned to the original payment method within 7–10 business days after cancellation confirmation.

11. Acceptance

By signing the Participant Contract of Intent, you acknowledge that you have read and agree to follow this Passport Babes Domestic Travel Policy in full.
