Airfare & Group Travel Policy (International and Domestic)

Group departures from ATL are standard. For all international Passport Babes trips, our group travels on a coordinated flight itinerary departing from Atlanta (ATL). This keeps timing consistent for check-ins, transfers, and safety. If you live outside Georgia, you may “position” to ATL on your own; your positioning flight must arrive in time to meet the group flight’s check-in window.

Group airfare = timing + savings. When possible, we arrange bulk or group air so everyone’s on the same schedule and you benefit from group pricing when available. Group air is not guaranteed on every departure, but when used, all final pricing, deadlines, and airline terms will apply. If group air is not used, we will still provide a required flight window and sample itineraries you must match (arrival and departure times) to be eligible for included transfers.

Flight participation is mandatory. Whether you’re on our exact group booking or you self-book to match the exact arrival/departure windows, aligning with the group flight is required. This ensures you make our ground transfers, rooming assignments, and hosted events. If you choose a non-matching flight or miss your flight, you’re responsible for any additional transport/lodging costs to catch up with the group.

Name, passport, and visa accuracy. The name on your ticket must exactly match your passport. Your passport must be valid for 6 months beyond your return date, and all visas/entry requirements are your responsibility. Any airline change fees, schedule changes, fare differences, or reissue fees are the traveler’s responsibility.

Delays & missed connections. Airlines control schedules. If delays/cancellations occur, we’ll advise the best options, but any extra costs (hotel, meals, rebooking, private transfer to rejoin the group) are the traveler’s responsibility. Travel insurance is strongly recommended for flight interruptions.

“I understand Passport Babes operates coordinated international departures from ATL. I agree to either (a) purchase the group flight offered to me or (b) self-book flights that match the required group arrival/departure windows. I accept responsibility for any added costs if I choose non-matching flights or miss the group flight, and I understand included transfers and hosted elements may be forfeited if I’m off-schedule.”
