New members of the team will require information that can help them be prepared to participate fully, actively and meaningfully. A welcome package can help set expectations and alleviate any fears or barriers that may arise as you get started. Onboarding a new member of the team means:

-Genuinely welcoming them to influence your team and work

-Showing them around the new environment

-Making them feel included, valuable and comfortable

-Providing them transparent access to the information and conversations they need to be ready to participate and travel along side of you.

-Reflectively listening and responding to their needs and acknowledging their strengths and areas of expertise.

-Learning from each other as you begin your journey.

Your project's success will be directly related to the time and effort you put into welcoming and orienting your new partners to team members and to the journey. The tone you set during these activities will set the tone for meaningful engagement and participation of your stakeholder partners.

Here is an example of the Appreciative Response Process Notetaking tool. This tool can be downloaded and printed or used as a digital notetaking tool for all stakeholder partners to track their experiences and contributions during your project.

Here is an example of a Welcome package we created for members of our Multiple Chronic Conditions Engagement Specialist Group as they joined our CIRCLE project. Your team could edit/revise and tailor these documents to reflect your team's details, standards, expectations, goals and needs. Some partners may appreciate a chance to go over the details together with the engagement coordinator or the team to ask questions and clarify any confusing language.

Here is an example of the Orientation document used to onboard our CIRCLE consultants to the PCORI Eugene Washington Engagement Project. Your team could create a similar briefing using the specifics of your project details and goals.

Here is an example of a team directory worksheet page. Create a copy of this document, retitle it with the name of your project and save it to your google drive. Each of your team members can contribute their details to your version of this document and begin to build a directory of resources and information to support your team's directory of resources for grant writing and dissemination purposes.
