Pcards

Each Business Manager will receive a Wells Fargo Visa P-Card (“purchasing” or “Procurement” Card). This card is for use by the Business Manager ONLY.

1- If you have problems using your p-card (i.e. getting locked out, forgotten password), contact Wanda in Financial Services.

2 - If a purchase is turned down on your card, call the 800 number on the back of your card for more information.

The monthly limit on your card is $1,000. In special circumstances, you may request a temporary raise to your p-card limit. Please make the request on the Wells Fargo CCER page. The request will be forwarded to the Program Manager, who will notify you.

Managing the Pcard

The Business Manager must submit supporting documentation at the end of each billing cycle. When making purchases, students need to save the following:

  • SCOPE RTP form for orders over $100

  • Original and digital invoices (or receipts)--this is really important!!

Reconciling the Pcard--IMPORTANT

The Business Manager is responsible for reconciling the monthly end-of-cycle statements in Wells Fargo CCER. This includes coding the charges online, uploading all receipts to Wells Fargo.

You will receive an email from Wells Fargo on the first day of the month. You have two days to code your transactions. If you are late, your p-card account will be frozen.


The following documentation should uploaded to Wells Fargo as soon as possible.

1) All original receipts (hardware store, restaurants, etc).

2) A pdf of all digital receipts and the reviewed transaction report.
