News Flash #47 - 290521-Pre notification of 3rd AGM Alpine
PRE NOTIFICATION OF 3rd ALPINE ANNUAL GENERAL MEETING
Dear Sir/Madam,
Considering the recent COVID-19 situation & the pursuant Acts/SOP Guidelines that have followed, the KPKT has issued a Guidelines stating that JMB can choose to use digital platforms to replace a physical means of conducting Annual General Meetings electronically. Said means will be conducted via Zoom within a limited headcount. The 3rd Alpine AGM will be conducted by means of a Virtual Meeting on Saturday 26th of June 2021 @ 10 AM using the ODESI E-AGM platform.
Certain requirements are to be met to fully conduct our Alpine eAGM smoothly & effectively.
Among the requirements are:
● An Internet connection with a minimum speed of 30 Mbps for uploading and downloading files.
● An electronic device capable of connecting to the internet.
● An electronic device with a web-camera of good condition.
● An electronic device with a microphone of good condition.
Please test all hardware that is required to better ensure if said equipment(s) are of good condition.
Step-by-step guide necessary to register for AGM:
All registration will be uploaded into the system by the JMB/MC/PMC.
Once registration has been complete, the owners will receive a link via email.
Please update the management with your current email address, phone number to ensure a smooth registration within the system.
Once registered owners will need to verify their accounts by clicking on the link in the email which will then lead to the ODESI eAGM web solution platform.
Once the account has been verified, owners must upload their respective utility bill as part of the 2FA process (TNB / Syabas / Unifi / Etc) bills must reflect the owners name and unit number as registered with management.
The venue of the AGM will be conducted via Zoom, the zoom link will be sent by management through email to respective registered owners via the Odesi EAGM platform .
Owners who are unable to attend the agm are able to appoint proxies via the Odesi EAGM platform and is subject to approval by management.
Registration for the AGM Via Zoom will be opened 2 hours prior to the start time of the AGM as per the KPKT guidelines.
Access to the Odesi EAGM system will be provided to all eligible, registered residents 14 days before the AGM date, this is to allow the residents to access the meeting agendas & propose proxies.
All voting, poling will be done via the ODESI eAGM platform
Any owners with outstanding bills will still be allowed to attend AGM. Although they will not be able to cast any votes.
Owners are given a time frame of 3 to 5 minutes to cast their votes when voting/polling window is opened by the committee/admins.
There are two types of ways voting can be carried out during online AGM: Show hand & Polling
Date & time of the AGM will be set for 26th of June 2021 at 10 AM.
Using ODESI EAGM, the minimum registration details required are active email address & current active phone number. In case of owners without emails, the owner(s) will need to create an email address & notify the JMB/MC in order to be registered.
In the event that any lot owner does not have an email:
Lot owner must create an email using any platform of their choosing.
Once email has been created, owner will need to notify the JMB/MC/PMC under management regarding individual name, contact number, new registered email, and unit no.
Emails must be created with a minimum of 7 days before the Annual General Meetings
Users are not required to have a zoom account as the system will generate
Please ensure that all house pending amounts are cleared maximum of seven (7) days prior to the AGM date (=19th June 2021) to participate in all AGM voting’s and polling’s.
