3 Phases to FBU Event Execution:
Phase 1: Welcome/Check-in of Parents and Athlete (Lead Submission)
Phase 2: Partner Introduction and NCSA Formal Speaking Sessions (Engagement/Interactions)
Phase 3: Parent and Athlete Meetings/Evaluations (Close)
Gather Leads: NCSA A-frame Signage w/ QR Code OR website link to form
Have every student-athlete/parent scan the QR code which will re-direct them to the NCSA Landing Page
Talk track - "Fill out this form to start or update your NCSA profile and let College Coaches know you're HERE at this FBU Camp".
2. On-site Meeting: During this event, it's critical that we encourage families to schedule and meet with NCSA staff. This is a great CTA during presentation and speech once NCSA has been introduced by the partner or while walking around and engaging with parents.
3. Pre-Sets/Schedule Your Recruiting Assessment: if a family wants to schedule a call with NCSA after the event, have them:
Scan the QR Code and complete the landing page questions so we gather parents/athlete information.
Find a day/time the family is available and schedule in Salesforce. Submit this information to the Event Director post event.
4. Claimed Leads: Families who you had a great conversation with or asked a lot of questions, but they don't know of a day/time for a recruiting assessment yet.
Check Salesforce to ensure they are not current NCSA clients
You can claim up to 25 of these to follow up with on Monday/Tuesday
If no "claimed leads" are submitted, up to 25 parent/athlete leads will be automatically given to the Recruiting Coordinator for them to follow-up on as long as they do not belong to another staffer or fall under a different designated "business rule".
5. On-Site Enrollments Flow & Discount Policy: For Student-Athlete/Parent wanting an onsite enrollment meeting (PLEASE WATCH: Step-by-step “On-site Enrollment” Recording)
If an enrollment meeting is conducted onsite during the event, this link: https://recruit-match.ncsasports.org/recruit/events MUST BE USED to 'tag' the athlete to the proper partner event name.

"UPGRADE" – Entered into Discount Code section in order for this upgrade to be processed appropriately
Unless a family asks for an "upgrade" do not mention this as an option. If this option is provided to families, you are not permitted to provide an additional discount

7:30 - 9:00 AM - Regional Camp Registration begins
Greet athletes/parents as they check-in during registration time – encouraging to “scan” the QR code, google domain or paper recruiting questionnaires
9:00 - 9:20 AM - Welcome Orientation/FBU addresses the parents and announces the schedule for the weekend
9:25 - 9:45 AM - 20 minute Introduction to NCSA

During this overview, please encourage on-site meeting sign-up, initial recruiting questions and indicate where the NCSA station will be located during the event
9:45 - 1:50 PM - Camp starts and takes place all day, 15 min break from 11:35 - 11:50 AM
NCSA staff available to meet with parents to cover questions regarding NCSA platform/resources, schedule recruiting assessments, and enroll athletes to an NCSA membership

Disclaimer: By confirming your attendance to this event, you are electing to bring your own technological device (i.e., laptop/charger, iPad, etc.) in order to accomplish the desired and stated goals outlined above and in previous email communications and waiving your right to any compensatory amount for damages or loss you may incur either in transit prior to the event, during the event and after the event. You have $100/day of per diem for meals and can expense any work-related items (must secure an itemized receipt).
Note: If traveling to a partner event, the day prior to the actual date you’ve been confirmed to work, NCSA staff is restricted to a Per Diem of $50.
Alcohol is reimbursable
Permitted to one (1) drink if a rental car is reserved for event.
Alcohol consumption should be reasonable and within expense limits. Excess alcohol-related charges may not be reimbursed. When attending partner events, we recommend limiting consumption to no more than two (2) drinks.
Baggage reimbursement
If you are traveling 2 or more days, checked baggage is reimbursable.
All Concur expenses should be submitted no later than 7 days after you travel home from your confirmed event. Failure to comply could result in expenses not being reimbursed.
